The Special Events Coordinator reports to the Director of Development and Alumni Relations. This position supports all areas of the Development Office, as instructed by the Director of Development, with a specific emphasis on The Miami Valley School’s Annual Auction, Homecoming Weekend, Golf Outing and other stewardship and cultivation events. This is a full-time, year-round position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Plan and execute all aspects of development and alumni events, including but not limited to:
Annual Auction: consisting of an online auction, silent auction, live auction, paddle-raise, dinner sponsorship (corporate and individual) and event run-of-show.
Alumni Distinguished Award Dinner and Homecoming Weekend: a multi-event weekend, including homecoming games and a reunion event
Other Stewardship and Cultivation Events: including Grandparents Day, Volunteer Appreciation Breakfast, Leadership Donor Thank You party, and the Alumni Holiday party
Leadership of alumni, parents and faculty committees to plan outreach efforts for events and activities
Utilize appropriate project management and event management software to manage complex data, particularly to track auction items and sales, and event attendees
Work with communications team to create event communications timelines and promotional and event materials, including newsletters, invitations, web pages, social media posts, an auction catalog, videos, etc.
Contract and manage vendors during all stages of planning process for all events
Responsible for creating robust volunteer teams to support the goals of development and alumni events by recruiting, training, managing and cultivating parents and alumni volunteers
Serve as a member of the MVS Alumni Council, responsible for planning and executing alumni events that engage the MVS alumni community
Support other Development Office initiatives, including the Annual Fund, Alumni Relations, and Capital Campaign, as needed
Occasional nights and weekends required
BA required; MA preferred
3-5 years of fundraising event experience, preferably in an independent school environment
