Allendale Columbia (AC), a diverse, co-educational, college prep independent school serving over 400 students in grades nursery through twelve, seeks a Welcome Desk Associate to begin in August 2017. The Welcome Desk Associate is an integral part of the Welcome Desk Team. Ultimately responsible for the first impressions of AC, the Welcome Desk Team endeavors to provide the most welcoming, comforting, and pleasant experience for all constituents when they visit or call campus.
AC believes its students, families, faculty, staff, alumni, grandparents, friends, and guests deserve to be greeted with warmth, humility, and friendliness. We also believe this begins the moment they arrive on campus and the Welcome Desk Team is a critical part of the AC community.
The Welcome Desk Associate plays a vital role in the AC community, managing the first impressions of the school daily from 9:30 a.m. – 6:00 p.m. As one of the school’s most visible spokespeople, the Welcome Desk Associate represents the school to students, parents, alumni, faculty, staff, administration, and all guests. In order to ensure that everyone visiting or calling our campus feels welcome and all students and parents are known by name, the ideal Welcome Desk Associate will inspire others to be as open and welcoming as possible by leading by example.
The Welcome Desk Associate must have equal parts friendliness and calmness and should enjoy the company of students of all ages and their families. The Welcome Desk Associate serves as a member of the staff and works closely with the Admissions team as well as members of the Development, Finance, and Communications teams; as a result, this position requires the highest degree of discretion, honoring the privacy of all AC community members. The Welcome Desk Associate is attentive to the school’s public presence in all its manifestations, and is responsible for all calls coming into the school through the switchboard and all emails coming into the school through the email for the Welcome Desk known as email@example.com.
Specific Duties and Responsibilities:
Maintaining and managing all aspects of the Welcome Desk on a daily basis including, but not limited to:
Managing the busy nature of the Welcome Desk
Buzzing in guests who enter through either of the two main doors
Maintaining a safe and calm environment at the entrances
Answering phone calls and managing faxes as needed
Distributing the mail in the mail room
Managing the sign in/sign out book daily and during emergency situations and making sure every visitor signs in and out
Retaining strict confidentiality
Maintaining and enhancing AC’s good standing in relevant professional organizations by seeking best practices that would enhance our Welcome Desk Team
Extending himself/herself beyond the responsibilities of a job description and assisting with all other duties as assigned including, but not limited to, opportunities to collaborate with and help Admissions, the Business Office, Marketing and Communications, Development, Division Leadership, and the Leadership Team
Job requirements include:
Strong commitment to education and working in a school
A particular enthusiasm for the distinctive culture of AC
Excellent written and spoken communication skills
Excellent interpersonal, organizational, and managerial skills
Comfort with the technologies that support student record management, analytical reporting, and social media
Familiarity with Excel spreadsheets, and an ability to pay close attention to detail in invoice processing
High energy, flexibility, warmth, and sense of humor
