This position exists to coordinate and facilitate the administrative functions of the school office and provide, when asked, assistance to other administrative staff. The scope of work includes a wide variety of clerical and secretarial duties to organize, coordinate and schedule school office activities; coordinate communication between administrators, personnel, parents, students, and the general public; train and provide work direction to clerical personnel as assigned.
Coordinating and calendaring (setting) appointments
Oversea, coordinate and perform day to day school administrative functions
Handle school newsletters, memos and agendas and notification systems
Man the reception area and direct visitors and parents to correct school personnel
Warmly greet school visitors
Performs miscellaneous clerical work, such as filing, typing, relaying messages, operating office machines, and opening and routing mail
Compose and manage correspondence, conducting extensive mail merges
Answer telephone calls and transfer calls to the appropriate recipients
Coordinating with Office Manager on project work per school event/upcoming program/field trips
Provide direct administrative assistance for assigned faculty, staff, and/or department
Ascertain the confidentiality and integrity of information received through board of director and department meetings
Enter and maintain database on inquiries to the school using Rediker Software
Post information in daily bulletin as needed or requested
Format and print materials, as needed
Attend department meetings and prepare agendas and/or materials as requested
Run queries and research as requested
Projects and tasks assigned by Office Manager or school administrators
Maintain confidential records, and confidential communications.
Assist school administration, parents, and students with functions related to standardized assessments.
Knowledge, Skills and Abilities:
Enthusiasm for mission and vision of de Toledo High School and strong commitment to embrace and promote its culture
Strong familiarity with independent school sector and/or the Jewish community
Understand and exhibit the maturity to maintain confidential records, and communications.
Strong organizational skills sufficient to handle multiple projects, details, and deadlines simultaneously; strong ability to prioritize
Must be technology oriented (able to learn new systems quickly and effectively)
Strong interpersonal and communication skills with people at all levels and in all settings
Proficiency with Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook, Publisher)
Proficiency with Rediker as a whole, with additional effectiveness with Admissions Plus module
Collegially inclined with peers; a willing communicator and collaborator; enthusiastic team player
Comfortable working within a fast paced dynamic school environment
Unquestionable personal integrity, excellent judgment, sound instincts, diplomacy and patience
