The Development Associate for Events has direct oversight for a variety of special events both large and small, working closely with volunteer committees, donors, faculty, and staff to meet or exceed an annual event revenue goal of $120,000. Events will amplify the values of the school, create meaningful opportunities for engagement and community building, and be inclusive of our diverse community.
The successful candidate is a relationship-focused development professional who implements events as a strategy for long-term cultivation and stewardship, helping to create an active and strong sense of community for all families. Signature events include Prospect Sierra Presents, a public speaker series on a broad range of topics that showcases thought-leaders within the PS community; and the Spring Gala, our largest fundraiser of the year. Additional events include Grandparent/Friends Day, leadership-giving recognition, welcome events, and volunteer recognition. The position reports to the Director of Development and is a member of a 4-person development team.
Lead revenue-driven events by developing the strategy, concepts, themes and formats and overseeing the execution of events that further engage donors and support school and department goals.
Research and develop new systems and strategies for cultivation, coordination, and promotion, such as innovative uses of technology and social media.
Manage event committees and sponsor solicitation. Coordinate and lead committee meetings, draft minutes, debriefs, stewardship of host committees to secure members, sponsorships, and in-kind gifts.
Prepare financial reports for presentation to Director of Development and the Development Committee/Board of Trustees. Maintain event timelines and budgets.
Manage outside partners, speakers, vendors, venue, event consultants, and volunteers working on events; secure rates that enhance budgets.
Develop invitations, programs and other event materials as needed. Manage production of printed materials and multiple high-volume mailings.
Collaborating with the Director of Communications, write talking points, event correspondence, collateral materials, social media and web content, solicitation and thank-you letters, and other event communications as necessary.
Draft run-of-show and staffing assignments. Recruit and manage event volunteers, and serve as event point-person on-site.
Work with the Data Coordinator to ensure maintenance of clear, complete and up-to-date records on contributions and pledges. Oversee research and profiles on event attendees.
Provide guidance and support to Parents Association on events and activities throughout the school year.
Perform additional duties as needed.

Essential Skills and Qualifications
Undergraduate degree preferred
Experience in education, fundraising, marketing, or special events required.
Collaborative and results-oriented approach

Enthusiasm, commitment to excellence, self-motivation, and a professional demeanor.

The ability to handle multiple tasks with organization, accuracy, confidentiality, and a high level of attention to detail.
Proficiency in Microsoft Office, internet research, social media. Experience working with FileMaker-based databases.
Must be willing and available to work occasional evenings and weekends.
Ability to lift and carry up to 35 lbs.
