Mary McDowell Friends School (MMFS) is one of New York City’s leading schools for students with learning disabilities. We first opened our doors in 1984 when a group of parents, special education professionals, and community members came together to meet the needs of elementary age children with learning disabilities in Brooklyn and lower Manhattan. Our first class began with just five students, and today we have 383 students in kindergarten through 12th grade in three buildings.
About the Position
We invite applications for an Elementary School Administrator/DOE Liaison beginning September 2017. The ideal candidate is reliable, responsible, and cares about the work s/he/they do. S/he/they will work as a member of an incredibly hard-working, dedicated team of administrators, faculty, and staff in a school which puts a great emphasis on community.
Under general supervision, the Elementary School Administrator/DOE Liaison will administer a range of of activities for the school, students, families, and partners, including the following in coordination with the Elementary School Director and Elementary School Assistant Director. The ES administrator will oversee the efficient and effective management of the division’s administrative functions, with focus on assisting the division directors and oversight of the communication and documentation between the school, families and the DOE, in support of the the CSE and OPT processes.
Faculty/Families: - Demonstrate a positive and welcoming demeanor to the MMFS Community. - Support front desk coverage when needed. - Support arrival/dismissal duty when needed. - Supervise Elementary School receptionists. - Serve as the Elementary administrative liaison to other MMFS divisions/offices. - Arrange the ordering, delivery and set-up of meals, refreshments and snacks for regular faculty meetings and events. - Coordinate the selection, purchase and distribution of faculty gifts on behalf of the division director/assistant director. - Manage receipts and reconcile expense reports for division directors. - Coordinate lunch duty coverage for absent teachers. - Update and maintain school information database. - Support families, students, faculty and staff as needed for information, guidance and assistance throughout the day. - Periodically observe students and teachers in the classroom. Communication: - Communicate school information and updates to parents via database program. - Create and oversee the distribution of flyers, notices, forms and other information to parents. - Coordinate division mailings throughout the year. - Manage and maintain the division’s calendar of events. - Manage and coordinate field trips, ie: permission slips, reservations, payments. - Process student reports, ie: updating and proofreading formats, collating, copying, mailing, tracking financial holds. - Coordinate and schedule Parent/Teacher Conferences. - Provide Development Office with weekly division updates for the weekly e-news. Liaison to the DOE, CSE: - Provide support and guidance to parents regarding CSE related issues. - Work with the CSE to create a student observation schedule for all ES, MS and US students. - Coordinate and provide the CSE with teacher availability schedules for all ES, MS and US student reviews. - Inform CSE of scheduling conflicts based on the school calendar and events as they develop. - Coordinate the delivery of student reports to CSE. - Provide student and school documentation to CSE as needed. - Send monthly attendance reports to lawyers. - Prepare documentation for subpoenas. - Provide student and school documentation to lawyers in preparation for impartial hearings. - Coordinate MMFS witnesses for impartial hearings. - Maintain detailed records on CSE Observations, CSE Reviews, and Impartial Hearings. OPT: - Coordinate and process student transportation requests and assignments between families, CSE, OPT, bus companies and the school. - Maintain and distribute student transportation database, including OPT busing assignments and schedule, as well as transportation alternatives. - Maintain records on and distribute OPT issued student metrocards. - Maintain school schedule needs and student records within OPT database. - Resolve transportation conflicts as they occur; communicate service needs with bus companies; support parent inquiries.
Associate’s Degree required; Bachelor’s Degree preferred; three (3) years of full-time progressively responsible professional experience in education administration in one (1) or more education-related areas, at least eighteen (18) months of which must have been in a managerial capacity;
Strong leadership skills and ability to work in cross-functional teams.
Familiarity with DOE school systems and structures.
Ability to multitask, take initiative, comfortably switch gears, and prioritize workload.
Strong ability to organize facts and present information and figures in a clear, concise, and logical manner, both orally and in writing.
Outstanding organizational skills, high reliability, strong interpersonal skills, discretion, confidentiality, compassion and patience are required.
Ability to work effectively as part of a team in a fast-paced environment.

This is a full-time, exempt position working Monday through Friday from 8:30 a.m. to 4:30 p.m.
