Reports to: Upper School Division Head and Academic Dean
The Shipley School, founded in 1894, is a co-educational, college preparatory, independent day school currently enrolling 825 students in grades Pre-K through 12. Located in the western suburbs of Philadelphia, the school is committed to educational excellence and dedicated to developing in each student a love of learning and a compassionate participation in the world. The Upper School has 415 students in grades 9-12 and a faculty of 60.
The Shipley School is seeking an experienced administrative assistant who is highly organized and detail-oriented. This is a 12-month position. The candidate will report to and support the Upper School Administration – the Division Head and Academic Dean in particular. The candidate will work with the Upper School Administration to support a smooth day-to-day experience for the Upper School community. Experience working as an administrative assistant professional in a school or similar environment is preferable but not a requirement. The candidate must have strong computer-based skills and have had familiarity managing databases and data entry. The primary responsibilities of this position include, but are not limited to, the following:
Provide a welcoming office environment to students, faculty, and families;
maintain confidentiality at all times;
manage the individual calendar of the Division Head and the Academic Dean;
work in tandem with the Assistant to the Dean of Students to support the Grade Level Deans and to provide clear and consistent communication to Upper School colleagues, students and families;
maintain the Upper School calendar, which includes entering all Upper School events on the main calendar;
oversee all the major events for the Upper School, including opening days, parent conferences, and commencement;
manage mailings, external communications, and daily community projects;
file and manage all student records;
perform other duties as required.
