Germantown Academy, located in Fort Washington, Pennsylvania, is seeking qualified, experienced candidates for the position of Advancement Services Coordinator, beginning September, 2017. Position Purpose: Reporting to the Annual Fund Director, accurately and promptly record and post all gifts, prepare gift receipts and acknowledgement letters, and update donor/alumni records (electronic and paper). Generate accurate daily, weekly, monthly and annual reports to track gift activity.
Gift recording – process includes preparing checks, entering gifts and pledges, checking entries, running reports and posting daily entries; preparing acknowledgement letters, receipts and background reports; handling matching gift applications, abnormalities in gift process (unsigned checks, bounced checks, etc.); running transmittal reports for the Business Office
Receipts - manage filing system for receipts/acknowledgements
Data Management - update mailing list files which includes biographical changes such as address changes, marital status, salutations, etc. Manage donor profiles and tracking of prospects. Coordinate with Database Administrator in Technology Department to ensure consistent all school data, especially in Raisers Edge and Education Edge.
Research-Work to gain current contact information for constituents in the database or those whose mail is returned. Support Assistant Director of the Annual Fund in researching new prospects and ensuring Rating and Action statuses are updated accordingly in Raisers Edge.
Reporting – running monthly progress and comparative reports for the Annual Fund, running applicable reports for Capital fund-raising, Event mailings, Web Site support; providing integrated data across departments on campus; creating incidental reports when needed including special reports for class agents, leadership donors, reunion classes, etc; compiling financial reports, progress lists, class participation percentages, increased percentages for annual report.
Computer sorting – Single and linked sorts to produce phonathon and annual giving cards, letters, envelopes, labels, lists of donors, non-donors, comparison reports, prospect reviews etc. Sorting and running pledge reminders, lybunt and sybunt lists for mailings, and finding information on individual donors or groups of donors for various purposes.
Mailings – Run sorts and print envelopes for mailing done in-house; liaison with mail house and manage card stock for Annual Giving mailings.
Mail – manage incoming and outgoing mail on daily basis; manage postal account.
General Office Duties – Assigned as necessary.
Experience working with and maintaining complex relational databases
Experience using and maintaining Blackbaud databases
Experience using the Microsoft Office suite (Excel required)
Demonstrated ability to troubleshoot and resolve database problems
Proven ability to multi-task with a high degree of accuracy in a busy environment
Strong organizational skills and excellent verbal and written communication skills
Ability to work collaboratively as a member of the Office of Institutional Advancement team as well as build strong working relationships across the school community
Crystal report writing experience is not required but preferred
