Germantown Academy, located in Fort Washington, Pennsylvania, is seeking qualified, experienced candidates for the position of Assistant to the Director of Human Resources, beginning September, 2017. This is a 12-month position which offers an excellent array of benefits and a highly competitive salary. The Academy, founded in 1759, is a non-sectarian, coeducational, college preparatory school of more than 1,100 students in Grades PK-12, located in the northwest suburbs of Philadelphia on a campus of 126 acres. Reporting to the Director of Human Resources the Assistant will provide administrative support pertaining to all aspects of the Human Resources function at the Academy.
Complete administrative functions for the Director of Human Resources while maintaining a high level of confidentiality.
Perform benefits administration: Process employee enrollments, cancellations, and changes. Assist with open enrollment and serve as a point of contact for benefit questions.
Assist Business Office with management of retirement plan. Complete annual non-discrimination testing and 403(b) audit. Organize retirement meetings between employees and TIAA representative.
Maintain employee files and oversee the new employee paperwork process, ensuring all background clearances, physicals, I-9 forms, and other related HR documentation have been turned in and are compliant.
Post openings for both faculty and staff positions on designated websites.
Send Division Heads application materials for each opening.
Make travel arrangements and create interview schedules for all administrative hires.
Keep track of unsolicited resumes, filing them in the curricular drive as they are received.
Maintain and process unemployment claims and notices.
Possess extensive knowledge of and demonstrated ability with personal computers and associated office software programs in the Microsoft Office Suite; prepare Power Point presentations and handouts for meetings.
Maintain all faculty/staff records in Education Edge, ensuring they are kept current; print out reports, if requested. Publish and distribute the GA internal phone directory and Faculty/Staff Redbook Supplement at the start of each school year.
Create offer letters and contracts, and distribute new hire packets.
Conduct new hire orientation.
Assist with processing J1 Visas for international employees and enrolling them in medical insurance.
Report worker’s compensation claims.
Complete the end-of-year OSHA 300 form for our file (post a copy in the mailroom).
Complete EEOC audit.
Provide support to the Director of Faculty Professional Development with regard to the administration of the following programs: New Faculty/Staff Orientation; Opening Day (plan logistics, prepare Power Point presentation of new hires); End of Year Faculty Breakfast (purchase presents for leavers; Confucius Classroom Teacher, and recognition employees; plan logistics of breakfast, i.e., meals, setup); 25-Year Celebration; and Retirement Party. Complete the School Dudes for these events.
Filing of bi-weekly and monthly payroll documentation.
Maintain terminated employee files - files over 5 years old are to be archived.
All other duties as requested.
Three to five years of experience as a Human Resources Assistant or a degree in Human Resources Management.
Strong computer skills, particularly Word and Excel.
Must be helpful and friendly while maintaining confidentiality.
