Marin Academy seeks a full-time Advancement Services Manager. The Advancement Services Manager is a key leader in the organizational efforts behind Annual Giving, Capital Campaigns and Alumni Engagement operations. The Manager is responsible for the data, research, and systems that support all Advancement and fundraising efforts. The Manager should be a strong collaborator and communicator who can foster strong internal partnerships around data integrity, accurate financial reporting, prospect management systems and timely stewardship of donors. The Manager will report to the Director of Advancement and will be an integral member of the Advancement team. The Manager will work collaboratively with the ten-person Office of Advancement and directly alongside the Database Coordinator, a part-time (20 hours per week) employee.
The Advancement Services Manager will be responsible for:
Developing, implementing and evaluating a comprehensive and systematic annual plan for database and prospect management which includes tracking and reporting on significant moments in the relationship between prospects and Marin Academy.
Collaborate with the Database Coordinator to create, maintain, and track accurate and up-to-date information for constituency files.
Building best practice procedures around integrated use of data management and research tools, such as Blackbaud Raiser’s Edge, Whipple Hill, EverTrue Giving and iWave.
Overseeing the prospect management system for organizing, reviewing, and creating solicitation strategies for donor prospects and working in conjunction with gift officers to prompt timely outreach.
Researching top donor prospects and providing briefing materials to key Advancement stakeholders.
Managing the gift process, including recording all gifts and grants to the school in the Raiser’s Edge database system in an accurate and comprehensive manner.
Providing daily gift updates and drafting and disseminating all gift acknowledgment letters.
Collaborating with Director of Annual Giving, Director of Leadership Giving, Business Office, and other internal stakeholders to ensure that all gifts are recorded, processed and tracked appropriately.
Drafting and disseminating all annual giving and campaign pledge reminders.
Producing monthly gift reports, pledge status reports, and other reports or lists as needed to document the flow of philanthropic income to the school.
Reconciling all philanthropic giving with the school’s general ledger.
Working collaboratively with Office of Advancement colleagues with their duties during peak periods.
Other duties as assigned by the Director of Advancement.
The Advancement Services Manager should have:
Extensive data management experience with development databases/web systems (Blackbaud Raiser’s Edge and Whipple Hill web platform a plus).
Strong leadership and interpersonal skills, allowing him/her to work effectively with colleagues and constituents, solve problems and build efficient data systems for Marin Academy and its constituents.
Ability to research prospects and provide detailed briefing materials to internal partners.
Exceptional office management/organizational skills, including the ability to multi-task effectively with a superior level of attention to detail.
Ability to set priorities and meet deadlines.
Excellent phone, email and in-person etiquette in dealing with constituents and donors to the school.
A solution-driven mentality and who is a team player who understands the value he/she brings to the organization (especially during peak periods).
Ability to discreetly handle confidential matters.
Experience in drafting letters to constituents.
Good working knowledge of the Microsoft Office suite of products, especially Excel and Word.
Basic accounting and analytical skills.
Ability to be a self-starter and work independently.
A bachelor’s degree or equivalent work experience.
Relevant experience in an independent school, college, or non-profit setting preferred.
