St. John’s Episcopal School, celebrating 56 years in Olney, Maryland, is seeking a full time Main Office Administrative Assistant for the 2017-2018 school year.

This position begins immediately. The position is 40 hours weekly. Salary range is comparable with small independent schools and with level of experience.

The Main Office Administrative Assistant at St. John’s Episcopal School will perform a variety of high-level administrative and secretarial functions as well as manage the school health room. This position will play an integral role in managing the day-to-day operations of the main office.
The Main Office Administrative Assistant must enjoy working within an educational environment, with students, parents, and faculty. The Main Office Administrative Assistant must be able to work under pressure, at times, to handle a wide variety of activities and confidential matters with discretion. The successful applicant should be a highly organized, detail-oriented individual who takes initiative and problem solves.
The ideal candidate possesses excellent interpersonal, written language, and technological skills and is eligible for and willing to be trained to be a Certified Medical Technician (CMT)
General Office Responsibilities:
Greets visitors warmly through front door monitor and in person, making them feel welcome. Answer phones and directs all incoming inquiries to the appropriate party in a positive, professional manner, promptly and efficiently.
Is first responder for all activities brought to the main office, along with the office coordinator. Responds to queries, concerns, issues and problems brought to the main office in a positive, calm, professional manner, demonstrating sound judgment in directing issues to appropriate administrator or teacher
Plans and establishes the implementation of clerical procedures in a school office to ensure timely preparation and submission of reports, records, studies, letters, and other materials
Performs clerical work related to such matters as enrollment, attendance, organization, accidents, student grades, special programs, time reporting, and requisitions and purchase orders for supplies and equipment
Has knowledge and skills in Microsoft Office and Google Suites. Utilizes applications to conduct school business including attendance, registrar, and secretarial duties. Knowledge of, or the ability to learn, student information systems and other school software
May provide guidance to volunteers and others working in the school office
Performs other duties as assigned
General Registrar Responsibilities:
Maintains student academic records and transcripts
Receives and acts on transcript requests including sending transcripts to receiving schools with appropriate confidentiality
General Certified Medical Technician Responsibilities:
Administers prescribed medications to students and maintains related medical records under supervision
Verifies identity of student receiving medication and records name of drug, dosage, and time of administration on specified forms or records.
Provides minor first aid and arranges for care of ill or injured students; files injury reports and calls parents to notify them of the incident. (See CMT)
Takes vital signs or observes student to detect response to medication.
