The Gift Records Specialist is responsible for entering into the database all gifts and pledges in a timely and accurate manner. Processing stock transactions, producing gift receipts and maintaining gift files are the other essential components of the job. In addition, this position must develop and produce financial reports for both internal and external use, he or she will comply with policies regarding the coding of all gifts to assure that gift entry and financial reports are copacetic.
Essential Duties & Responsibilities:
Accurately enters gifts and pledges (cash, check, credit card, gift-in-kind, real property or stock transfer) into the database.
Acknowledges all gifts with appropriate receipts.
Maintains accurate files and copies of correspondence, checks, and stock transactions. Scans and attaches in Millennium gift documentation when appropriate.
Works together with the Comptroller’s Office to produce and verify monthly and annual financial reports.
Works closely with gift officers, the planned giving director, the stewardship director, and others to ensure that all gift records accurately reflect the donor’s intentions.
Works with the Director of Information Management to produce, hone and troubleshoot (when needed) high level financial reports for tracking and analysis, and assists in producing reports for VSE, the annual report, the annual audit, and all trustee meetings.
Works on special projects regarding specialized accounting for the Director of Advancement.

Education and/or Experience:
Bachelor’s degree in a related field or equivalent combination of education and experience.
1 to 3 years’ experience working in the development field, private boarding school environment preferred.
