Groton School is looking for an Administrative Assistant to the Deans of Students. This candidate will serve as first point of contact for the office and interact with a varied and diverse array of constituencies including students, faculty, and parents, and will provide direct administrative support for the day-to-day operations of the Deans’ Office. The position requires a high level of professionalism, patience, discretion, and confidentiality, and also the ability work independently and take initiative. The successful candidate will possess excellent organizational skills, a strong customer service orientation, and will be able to manage multiple priorities with attention to detail in a high-paced environment, deal with a wide variety of challenges and interruptions, and meet deadlines. Should be proficient with Microsoft Office suite (especially Excel) and Google Apps (especially Forms), and comfortable using computers and learning to use new software and web-based systems.
Provide a welcoming office environment to students, parents, faculty and staff
Communicate professionally and courteously in person, by phone, and by email.
Maintain confidentiality at all times.
Maintain accurate records, including but not limited to, student attendance and conduct and requests for excused absences.
Communicate and coordinate with other administrative departments, including but not limited to the Academic Office, Health Center, and Buildings and Grounds.
Edit, proof, and prepare documents and reports.
Manage calendars and appointments for the Dean of Students and Associate Dean of Students.
Organize and maintain paper and electronic records.
Coordinate transportation for student arrivals and departures for school vacations, etc.
Assist in the coordination of community activities as well as major school events such as opening of school.
Perform other duties as required.
