Episcopal High School is seeking an Assistant to the Assistant Heads to provide administrative support to both the Assistant Head for Academics and the Assistant Head for Student Life. The Assistant to the Assistant Heads schedules and oversees arrangements for internal and external meetings and appointments for the Assistant Heads; maintains files and records as appropriate; answers phones and directs phone calls to the appropriate office; and takes messages as required or answer questions as appropriate. Other duties include managing and providing support for various major ceremonies including, but not limited to, Community Meetings, Cum Laude, Faculty Orientation, and Commencement; assisting the Assistant Head for Academics with the recruitment of Faculty to include posting for vacancies, tracking applicants, preparing interview schedules and arranging accommodations and student tours; and preparing and maintaining various schedules, rosters and calendars including the Administrative Duty Officer (ADO) schedule, the Rover schedule, Scholar in Residence visits, and the Major Dates Calendar. Other office duties include maintaining supply of paper, blue books and loose-leaf paper and ordering supplies when needed; and keeping the faculty lounge neat and orderly. Additional important tasks are maintaining the following: faculty data, student leadership, candidate list, and Professional Development request spreadsheets. Also called on to make travel arrangements for professional development activities for the Assistant Heads, other faculty members and students.
Summary of Qualifications:
A Bachelor’s Degree preferably in administrative areas or equivalent education and experience;
Experience as an Executive Assistant is a plus;
Strong written, verbal, and listening skills;
Excellent interpersonal and organization skills and great attention to detail;
Working knowledge of the Microsoft Office Suite with a strong emphasis on Excel;
Experience with Google Apps including, but not limited to, Gmail, Google Docs, Google Calendar and Google Drive, etc. is preferred;
Familiarity with office equipment such as personal computer, copier and fax machine.
