Responsible for planning and executing all stewardship and fundraising events for the school. This includes Trustee, parent, alumni and alumni parent events and activities.
· Plan and implement all stewardship and fundraising events in order to cultivate donors. Event planning and administration includes designing invitations, creating timelines, working with facilities staff on all set up needs, coordinating with vendors on food, drink and venues, assisting in audio and video needs, creating talking points, making nametags and ensuring a smooth event. Maintain the budget for each event and activity.

· Manage Alumni Parent and Alumni Travel program
· Auction Gala (biennial)
° Assist Director of Development with securing auction committee chairs
° With the auction committee chairs, coordinate the initial planning of the event, including but not limited to determining dates, location and style of the gala, creating print collateral designs, the selection of vendors, scheduling and planning of volunteer meetings and identification of sponsor and patron hosts.
° Provide guidance and support in planning and executing the main revenue generating components of the event including Sponsorship, the Live Auction, the Silent Auction, the Children’s Art Projects, and other related events.
° Prepare and manage, in collaboration with auction chairs, the budget, providing ongoing reporting of expenses and revenues.
° Provide guidance and support in planning and executing all aspects of the Gala.
° Compose and distribute all solicitation letters and acknowledgment/thank you letters and sponsorship collateral.
° Manage all databases: Corporate and Individual Sponsors, Silent Auction, and Live Auction.
° Assist the EL Art Project Chairs in overseeing the creation of the projects in each grade..
° Provide guidance to the Communications Office including, but not limited to, managing all issues relating to updates for the auction web pages, manage and disseminate all pertinent and relevant information to the internal Galloway community, provide content and support with the internal and external PR, advertising, and communications for the Gala.
3-5 years of special events experience
Non-profit experience preferred
Independent school experience preferred
Sensitivity for the dynamics involved with successful volunteer management
Understanding of the mission of the school and fundraising
Needs to exhibit organization, creativity, patience, a sense of humor, and great attention to detail
Strong interpersonal skills
Self-motivated and able to work independently
Excellent written and oral communication skills
Ability to work in support of dozens of volunteers while maintaining a calm and supportive environment at all times
Ability to work effectively with diverse constituents
Excellent computer skills and working knowledge of fund-raising software
Comfort with databases, spreadsheets, and other technology-based tools
Ability to manage multiple tasks simultaneously is critical
