Position: Development Database and Research Coordinator

JOB SUMMARY: The Miami Valley Schoolis seeking a meticulous and accurate database administrator and research coordinator. This individual reports to the Director of Development and oversees the day-to-day operations of all aspects of the Development Office database to assure the highest standards of quality, consistency, and accuracy in its alumni and development-related systems. The Database and Research Coordinator provides strategic leadership, as well as long-range and short-term planning, in the areas of gift processing, database integrity, gift acknowledgment, reporting, data analysis and system enhancements. This individual will also actively research and investigate potential individual donors, foundations, and other sources of contributed income prospects and maintain ongoing records of research results. This is a full-time year round position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Senior Systems is an SQL-based database and is connected to many functions of the school—development/alumni office, finance and academics. This position ensures the ongoing accuracy and integrity of the database by updating department documentation, providing user training, implementing quality control measures and regular corrections/updates.
Responsible for oversight of the database and overall data integrity, reports, gift and demographic data entry, prospect management, and overall system upgrades and usage
Implement new methods of coding to extract data properly
Coordinate with academic registrar to ensure that appropriate information is shared among the modules including the creation of student and parent records as new students enroll
Assist as internal help-desk for Sr. Systems challenges and questions
Assist advancement staff in proper use of the database
Responsible for the execution of the gift entry process, coordinating with the finance office to ensure the timely entry of gifts, working in an analytic and consultative manner with users in the department, and producing queries, data exports, and reports to meet their needs.
Produce daily gift deposits
Print and mail all acknowledgment and pledge reminder documentation
Develop and produce detailed monthly gift reports
Receive all returned mail and change of address notifications and enter corrections as appropriate
Manage the preparation of mail lists and mail merges
Oversee monthly financial reconciliation with the Business Office
Respond to auditor queries concerning annual audit
Develop and maintain a dynamic list of policies, procedures and regulations related to the use of the School’s data management systems
Other duties and general development office assistance as assigned
Collaborate with the Technology Department on database system
Consult with users to guide, define and evaluate the data needs of the department
Analyze systems, recommend solutions, and oversee upgrades, conversions, fixes, and plug-ins, etc.
Produce and edit all lists and reports for Annual Report
Produce mailing lists for advancement staff
Develop complex queries and special reports to aid in the decision-making process related to the cultivation, solicitation, and stewardship of donors and prospects.
Design and produce prospect reports and other reports as needed
MVS uses an SQL-based system used most commonly in the education industry. Applicants do NOT need to have prior experience with Senior Systems, but prior experience working with SQL-based database systems is required— training in
Senior Systems will be provided.

Bachelor’s degree (or equivalent education and experience) with a minimum of three year’s relevant experience in database management
Support of the School’s mission and core values
Experience with Google applications including Gmail, Google Drive and Google Calendar
Demonstrated advanced skills in using Microsoft Office programs, especially in using the mail merge tool and Excel functions.
Demonstrated success in detail-oriented work and outstanding organizational skills
Ability to track and manage multiple tasks and meet deadlines
Ability to communicate effectively, positively and accurately in person and in writing with all constituents in a school environment
Ability to work independently and produce quality results on schedule
Ability to work some evenings and weekends, particularly during peak periods
Work with special events coordinator managing event data, ensuring proper receipting and consolidation of data
