The Assistant or Associate Director of Admission and Tuition Assistance is a member of a four-person team that includes the Director of Admission and Financial Aid, Assistant Director or Associate Directors of Admission, and Admission Coordinator. The Assistant/Associate Director participates in a collaborative and professional environment dedicated to the recruitment and enrollment of students who are best served by Castilleja’s mission and program. The Assistant/Associate Director of Admission and Tuition Assistance works with the Director of Admission and Tuition Assistance to execute all facets of a comprehensive and strategic admission, recruitment, retention, and tuition assistance program.
In addition to other responsibilities, the Assistant/Associate Director is the chief architect of all on-campus recruitment event programs and responsible for full execution. The Assistant/Associate Director also manages the tuition assistance student activity budget.
The Assistant/Associate Director of Admission reports directly to the Director of Admission and Tuition Assistance, serves on the Admission and Tuition Assistance committees, is a member of the 6th Grade team, and serves as an advisor to 6th grade students.
Market the school accurately and compellingly to prospective students, parents, educational consultants, feeder school heads and administrators, and others who may directly or indirectly play a role in recruitment/admission responsibilities.
Provide counsel to families as they navigate independent school admission and tuition assistance process.
Read and evaluate applications and make recommendations to Admission Committee.
Communicate with prospective families and constituencies in a timely and professional manner.
Serve as the admission office liaison to select schools/programs.
Represent Castilleja at recruitment events (school fairs/feeder schools) and make presentations to constituents- students/parents/teachers.
Continually seek new opportunities to improve upon existing admission and tuition assistance practices.
Database/On line application Supervisor
Oversee and manage Admission Coordinator’s work with database and on line application processes.
Manage relationship with software vendors: InResonance, Ravenna Solutions, and School and Student Service for Financial Aid.
Manage the application process for new and returning families.
Evaluate tuition assistance applications.
Manage and allocate student activity budget.
Maintain and analyze statistical data.
Design, coordinate and implement 14 admission/tuition assistance events.
Design, implement, and manage extensive campus visitation program.
Select, manage, and train 100 student volunteers to serve as ambassadors and campus visit guides.
Serve as an academic advisor to 8-10 students.
Serve as a member of 6th grade team (teachers/advisors).
Assist the Director with institutional research needs that includes the collection and analysis of relevant data.
Perform other duties as assigned by the Director of Admission and Tuition Assistance.
Manage office and stand in for Director of Admission and Tuition in her absence.
Knowledge, Skills, and Abilities:
Associate Director 4+ years/Assistant Director 2-4 years of previous experience in secondary school, college admission, or non-profit administration.
Excellent organization and communications skills.
Excellent attention to detail and ability to manage multiple complex tasks.
Possesses superior interpersonal skills as a teammate, colleague, and advisor.
Expertise in marketing and communications strategies.
Demonstrates ability to work sensitively with people from diverse cultural and economic backgrounds.
Appreciation of single sex education.
Proficiency in MS Office, Filemaker and database applications.
Proficiency in Spanish desired.
Energy, initiative, creativity, compassion, ability to interact well with all ages, flexibility,
cultural sensitivity, sense of humor, team player, and appreciation for independent,
single-sex education, unflappable work ethic.
This position requires a flexible schedule as evening and weekend work required; valid CDL.
