Reporting directly to the Head of School, the Assistant will provide a wide variety of administrative and secretarial support to the Head of School, often of a confidential nature. This support includes communicating information on behalf of the Head of School to employees, parents, board members and vendors, ensuring compliance of the Head of School’s office and Board activities with administrative requirements; and addressing a variety of issues and/or providing general support necessary to ensure efficient and effective school operations.
The Assistant to the Head of School is responsible for coordination of meetings, help in the coordination of all-school events and will work on special projects and special group events. This position interacts with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment and initiative is required to plan, prioritize and organize a varied and challenging workload.
Essential Functions • Communicates clearly and distributes information through a variety of mediums to school personnel, students, parents, alumni, neighborhood agencies and others. • Schedules and organizes activities such as meetings, conference travel, school trips, and activities for the Head of School and staff and faculty members. • Attends meetings as assigned for conveying and/or gathering information • Maintains the daily/weekly/monthly calendar of the Head of School to coordinate the scheduling of work-related appointments, activities, meetings, etc. • Maintains documents and records for providing up-to-date reference, retrieval and audit trail for the Head of School and for compliance. • Responds to inquiries (including telephone calls) from students, alumni, parents and employees, providing information, facilitating communication among parties and/or providing direction. • May need to support the Principal, Directory of Early Education or the Director of the Preschool from time to time
Knowledge, Skills and Abilities The ideal candidate possesses strong oral and written communication skills; the ability to establish and maintain cooperative working relationships with others; a proficiency with technology including personal computers, copiers, and multi-line phones as well as a proficiency with various computer applications (i.e. Microsoft’s Office365, Google docs, PowerPoint, e-mail, database systems, calendars); the capability to work with a diverse group of individuals; the skill to accurately process paperwork and complete forms according to standardized procedures; the ability to maintain the confidentiality of information; and strong organizational, scheduling and time management skills.
Qualifications • A Bachelor’s degree is required • A minimum of five years of successful experience of an increasingly responsible nature as an administrative or executive assistant • Of benefit, experience as part of the administrative staff or faculty within the field of Education
