The Rivers School Advancement Associate serves as the primary support person for the Director of Advancement and the Advancement team, which includes the Advancement and Communications offices. The Advancement Associate plays a customer service role to members of the team, the Board of Trustees and Trustee Committees, parents, students, faculty and alumni, and understands the balance between the need for information and discretion.
Essential Job Functions:
Gift Processing, Database Management & Donor Relations
Write, process, copy, and mail all acknowledgement letters for all funds, annual and capital.
Process Gift Agreement Forms for campaign pledges.
Maintain donor records, update addresses, input actions and attributes, and update constituent records with relevant data (including student sport rosters, Board of Trustee Committees, etc.)
Liaise with donors around transaction information and gift documentation.
Assist with donor relations activity as needed, such as the production of e-blasts or other communications.
Create and run reports, execute mail merges, print nametags and run research reports, as needed.
Provide back-up for Director of Information Systems for gift entry and acknowledgements.
Program & Event Support
Assist Director of Annual Fund, Director of Alumni Relations, and Director of Parent Relations with large mailings, nametags, errands, and various projects as needed for all advancement events and Annual Fund mailings and phonathons. Work may occasionally be required for early morning, evening, and weekend events.
Serve as liaison to Technology Department for office needs (phones, videos, laptops, etc.).
Maintain office flow, organization, supplies, stationery inventory, budget procedures and tracking, ensuring the “donor readiness” of the office.
Keep copier and printers up and running and supplied.
Maintain filing for Advancement Office
Manage Advancement Calendar
Oversee correspondence, messaging, appointments and travel schedule for Director of Advancement.
Board of Trustees
Act as liaison with Board, including preparing and distributing meeting notices and agendas, attending meetings, and taking minutes.
Book conference rooms, set up meetings, coordinate scheduling dates with members of the Board of Trustees.
Work with the Executive Assistant to the Head of School (and Assistant Clerk to the Board of Trustees) on annual Board planning and communications.
Successful candidates for this position will possess:
Bachelor’s degree and office experience supporting the operation of a nonprofit organization.
Strong attention to detail; ability to multi-task in a fast-paced environment; strong project management and organizational skills; excellent verbal and written communication skills; an analytical and metrics-driven approach to development; a high level of flexibility; and a great sense of humor.
Aptitude collaborating with volunteers and high-level donors to advance a high-level philanthropy program
Fluency with Excel and Google platform is required. Experience and knowledge of Raiser's Edge or equivalent database software a plus.
Demonstrated experience working successfully in a culturally diverse community, including diversity of race, ethnicity, socioeconomic status, language and gender identity.
In order to complete the required job duties, the Advancement Associate must be proficient with Microsoft Office as well as telephone and e-mail. Must be familiar with databases and reporting and able to learn The Raiser’s Edge and Blackbaud databases.
