Status: Part Time (M-F 10-2, hours negot. w/ some flexibility) Division/Dept.: Business Office
The primary responsibilities of this position include providing relief for our receptionist during breaks/lunch, distributing incoming mail & processing outgoing mail, and ordering supplies and coffee. It is a floater position, which will require mobility throughout the shift and handling of light packages.
Essential Job Functions
Order supplies, as needed, and keep supply closets stocked for faculty/staff.
Sort & distribute incoming mail, process outgoing mail.
Update names on mailboxes annually (usually before the start of the new school year).
Maintain records of all supplies and coffee ordered.
Order kitchen supplies (plates, napkins, knives, forks, spoons) for lounge
Order coffee, tea, and hot chocolate for lounge.
Update all school forms and restock as necessary.
Make yourself available to faculty/staff who may have questions re: where to find people/things/places, copier issues, etc.
Occasionally meet with our vendors about new products, prices, or procedures.
Light housekeeping/daily clean-up in lounge kitchen.
Non-essential (Additional) Job Functions
May be needed to assist with projects from time to time (following up with parents re: re-enrollment forms, mass mailings for other departments, etc.).
Required Experience, Education, Knowledge, Skills, and Abilities
A good sense of organization with skills to match
Ability to operate mail meter
Basic Microsoft Office (Word, Excel, Outlook) & google (google docs) skills
Ability to get along with others
Ability to communicate clearly, well, and cheerfully with all different types of people
Ability to shift gears easily and does not get flustered when interrupted on one job and asked to help out with another
Excellent phone skills, voice & tone
Eager to learn
Movement throughout the shift (unpacking supplies, stocking shelves with supplies, lifting light packages, delivering coffee/tea orders to various departments with use of a small cart, etc.)
