Administrative Assistant to Athletics & Physical Education Full-Time, Year-Round Position Reports to the Director of Athletics
Purpose: The Administrative Assistant to the Department of Athletics and Physical Education assists in the administrative organization on behalf of the athletic department and facilitates communication between the coaches, faculty, staff, and Episcopal School of Dallas students, parents, and community.
Qualifications and skills:
Bachelor’s degree or high school diploma with a minimum of five years experience.
Proficient in Google Chrome (Word, Excel, and Presentations) and other internet applications.
Display knowledge of Senior Systems Advantage Budget Management or similar budgeting system.
Ability to communicate effectively with all constituents of the school, both orally and in writing.
Demonstrate excellent organizational, problem-solving, multi-tasking and customer service skills.
Ability to use basic office equipment.
Flexible schedule, to potentially include evening and/or weekend work.
Essential functions: Assist in orchestrating internal communication and the administrative organization of the Athletic Department.
Coordinate and expedite the administrative organization of all Middle and Upper School teams each season.
Investigate and coordinate all travel details for local and out-of-town athletic events.
Assist in guiding new hires and seasonal part-time coaching staff.
Assist in miscellaneous administrative and secretarial duties of the Athletic Department.
Manage and update the Athletic Website, and assist with team schedules on finalsite.
Team and Individual Photo support.
Assist in the fiscal organization and management of the Athletic Department.
Complete Reconciliation of all credit card purchases from the Athletic Department.
Organize, complete and distribute Assessments and Reimbursements for sports teams.
Assist with other financial tasks when required.
Assist the Physical Education Department (as agreed upon by the Athletic Director and Physical Education Department Chair).
Perform other duties and responsibilities as assigned to include coaching assignments as needed.
