St. Mark’s School is a college-preparatory boarding and day school, grades nine through twelve, nestled upon 250 beautiful acres in Southborough, MA.
Reporting to the Assistant Head/Dean of Faculty (AH/DoF), the Executive Assistant and Data Analyst will both provide a full range of administrative and project support for the AH/DoF’s office and the Dean of Academics’ office and perform data management and analysis on topics related to the academic program. This is a full-time position requiring a minimum of 40 hours per week year-round.
Manage the AH/DoF and Dean of Academics’ Office, performing the full range of administrative support necessary for its optimal functioning
Maintain the School calendar working with other offices to ensure accuracy
Manage the deans’ calendars and correspondence; organize faculty interviews; reserve meeting spaces and ensure proper setup and refreshments for meetings
Screen incoming calls, emails and correspondence and respond independently when possible; provide appropriate background materials on various subjects to enable the deans to be prepared for all interactions, researching issues where appropriate
Prepare or manage the preparation of reports, briefing materials, correspondence, proposals, and related documents; draft memoranda, announcements, and correspondence for the deans’ review and signature; prepare confidential employment documents
Manage the deans’ budgets; submit expense reports; order office supplies; determine technology needs; arrange for continuous technology improvements
Perform the core activities of data management and analysis: conduct research, generate and analyze data and reports, and contribute to the design and development of new research
Merge, clean, organize and store data; design an accurate and efficient method for maintaining the integrity of data; create and maintain process documentation
Complete projects and special assignments with a view to being sure the needs of the whole School are being met
Take utmost care to maintain and protect the confidentiality of the deans’ office; maintain accurate, secure files and databases; maintain archival records
Bachelor’s degree in related discipline
A minimum of three years related office experience
Data management and analysis skills
Proficiency with statistical and data modeling software
Ability to communicate effectively with diverse stakeholders
Independence and intellectual curiosity
Budget, organizational and management skills
The ability to effectively present information orally and in writing
Experience handling confidential and sensitive matters with discretion
Experience in an academic environment, preferred
Ability to work effectively with all members of the community
The ability to initiate, anticipate and coordinate as necessary in order to ensure that all deans’ office duties expected by the internal and external community are carried out in a best in class manner
Ability to work at a computer for extended periods of time
Ability to move about campus in all types of weather
