The Ethical Culture Fieldston School is seeking candidates for the position of advancement associate to provide administrative support for the advancement team with particular focus on the annual fund, and donor and alumni relations. The advancement associate will report to the Assistant Head of School for Institutional Advancement and will support the department’s work in alumni relations, annual fund, P&T administration, communications traffic, and capital fundraising efforts. During peak season, the Associate will play a major role in assisting with preparation for the annual benefit. An integral member of the advancement team, the advancement associate will work collaboratively with all members of the department and more broadly with all faculty and staff.
This position is temporary with possibility to become permanent.
Track and record activity of directors, enter contact reports and other constituent data
Provide general office support including calendar management, expense and meeting support for Assistant Head of School and Director of Development, and maintaining team supplies, including postage.
Support volunteer management efforts by entering room requests and ensuring proper set up, entering catering orders, crafting meeting notices and sending follow up
Augment prospect research as needed, using internet search tools and primary source material
Utilize the Events module in Raiser’s Edge, support events, record and monitor RSVPs, prepare name tags, help with event set-up and breakdown
Create Raiser’s Edge reports, queries, and exports as needed
Participate in the creation of the Annual Report
Event support is required on evenings and weekends
A bachelor’s degree with 2-3 years of professional experience, preferably in non profit/educational fundraising
Aligned with the mission of ECFS
Raiser’s Edge database experience preferable
Excellent attention to detail, professional attitude, and ability to maintain confidentiality
Strong organizational skills
Ability to multi-task in a fast-paced environment, can-do and will-do attitude
Superb communication skills (oral and written)
Familiarity with independent schools
Flexibility to interact with a range of constituents (alumnae, parents, faculty, students) while maintaining professional demeanor and decorum
High level of initiative, proven ability to work independently, good time-management skills, ability to work within tight deadlines
