Under the supervision of the Director of Finance and Operations, and in accordance with established policies and procedures, the Human Resources and Benefits Coordinator is the primary contact for employee relations, payroll and benefit administration, and compliance with state and federal regulations relating to payroll and benefits. The responsibilities include, but are not limited to:
Coordinate onboarding and documentation of new employees
Maintain Faculty and Employee Handbooks for the School and recommend changes to Administrative Team
Develop/edit/update job descriptions for all employees. Complete periodic job description audit and reclassified employees as appropriate under the Fair Labor Standards Act
Ensure compliance with federal and state statutes/laws such as ACA, FMLA, ADA, Sexual Harassment, OSHA, Worker’s Compensation, Title VII, and ERISA
Counsel employees regarding disciplinary problems and provide mediation when necessary.
Manage employee separation process for both voluntary/involuntary terminations
Complete quarterly and annual State Unemployment Insurance reports
Complete annual compensation and benefit surveys
Assist in development and maintenance of Faculty Salary/Compensation Scale.
Provide training for department heads and team leaders on various HR topics including interviewing skills, performance reviews and employee coaching
Conduct other employee education and prevention programs as guided by best practice and State and Insurance requirements
Manage Worker’s Compensation program (file claims, follow-up, etc.)
Administer compliance with CORI, SORI and SAFIS requirements
Successfully manage and coordinate benefit programs (Health, Dental, 403(b) Retirement Plan, STD, LTD, Life/AD&D and COBRA) for employees, including all employee communication, problem solving and claims resolution
Ensure all plans comply with applicable laws and statutes (ACA, HIPPA, ERISA and IRS guidelines).
Research and implement new supplemental benefit programs as needed
Prepare/edit Summary Plan Descriptions as needed for plan changes and legal compliance.
Manage Captive Health Insurance program including funding, employee education and review and analysis of claims activity
Participate in the annual audit of school Retirement Plan
Manage annual open enrollment for Health, Dental and Retirement Plans
Prepare and file form 5500 for applicable welfare and benefit plans
Prepare and distribute ACA Forms 1094-C and 1095-C
Coordinate employee benefit information and elections with payroll
Maintain employee pay, tax, classifications, and benefits information
Coordinate hours reported and pay data to prepare, verify and complete faculty and staff payrolls
Maintain and report all W-2 reportable information
Verify the accuracy of third party payroll quarterly and annual tax filings
Periodically reconcile employee benefit deductions to corresponding general ledger accounts
Maximize use of payroll software for efficient statute compliance and human resource management
Other duties as assigned
BA or BS Degree in HR or related field
Two to five years related experience, previous employment at a school or other non-profit a plus
Proficiency with Microsoft Office applications a must
Hiring is contingent on successful CORI, SORI and fingerprinting clearance

Lawrence Academy, serving almost 400 students in Groton, Massachusetts, is a residential and day school, and faculty are fully involved in the curricular, co-curricular (primarily athletics), and extracurricular programs at the school. Interested candidates should expect to live in a dormitory, but on-campus (non-dorm) or off-campus housing might be an available alternative. All members of the faculty are part of our residential program and have regular weeknight duties and some weekend duties.
