Position Title: Accounting Manager and Human Resource Support
Reports To: Director of Finance
The purpose of this position is to provide general support to the Stanley business office team, which includes the Director of Finance, Director of Operations, and Staff Accountant. This role is integral to the integrity of the school’s financial and business operations and requires an ethic of collaboration, discretion, and customer service.
Purpose of the Position:
The Accounting Manager and Human Resource Support position is responsible for daily accounting operations of the school, including payroll and benefits, coordination and preparation of financial statements in compliance with generally accepted accounting principles (GAAP), and maintaining adequate systems for accounting, human resource records, and financial controls.
Essential Duties and Responsibilities:
Finance and Accounting
Maintain a documented system of accounting policies, procedures and chart of accounts.
Prepare monthly financial statements, variance analyses, and account reconciliations. Prepare or oversee monthly journal entries and transactions to meet financial reporting requirements.
Execute year-end general ledger closing, and coordinate the preparation of year-end financial statements and schedules to facilitate the efficient completion of the audited financial statements.
Assist the Director of Finance in creating or obtaining necessary reports or information to support Finance Committee generally, and in connection with the preparation of the annual budget.
Maintain cash position and requirements, reconcile bank statements monthly, and resolve any banking or cash issues, as needed. Provide cash reports to the Director of Finance.
Regularly track, reconcile, analyze and report restricted, endowment and agency gifts and ensure proper recording and use of funds according to GAAP.
Payroll and Human Resource Support
Manage payroll, including enrolling and terminating employees, tracking absences, hourly employees, and all changes related to benefits, withholding, COBRA, or other issues.
Demonstrate depth of understanding with Stanley benefits programs and provide customer service to all employees requiring benefits support or clarification.
Update, manage and distribute employment packets and the Stanley Employee Handbook. Collect handbook signatory sheets and maintain hard copy file.
At least once annually, review human resource systems, controls and filing compliance with Director of Finance and Director of Operations. Undertake any compliance related tasks necessary to keep employee files up to date, and to securely archive inactive records.
Create and maintain annual contract spreadsheet, updating all information as needed. Create employment contracts for all employees for review by Director of Finance and Head of School.
Operations and General Business Office Support
Supervise student tuition billing, accounts receivable and payable, informing Director of Finance of any past due accounts.
Provide logistical, communications, and other technical support to ensure the hot lunch, extended day, and enrichment programs are managed in a timely and user-friendly manner. Oversee the registration systems, trouble shoot problems, support families, and ensure policies and procedures for participation are upheld.
Establish schedules for staffing hot lunch administration and front desk coverage. Support with the administration and service delivery of hot lunch, extended day, enrichment, and front desk duties, as necessary.
Build relationships with key constituents in the school – faculty, staff, and parents, and serve as a collaborative and resourceful member of the business office team.
Minimum of bachelor’s degree in business administration or related field.
Demonstrated knowledge of GAAP nonprofit accounting and reporting; CPA is a significant plus.
Minimum of five years of experience, including strong background in accounting, budgeting, and cash management.
Minimum of five years of experience in payroll management, benefits administration, and basic human resource management.
Proficient in Microsoft Office, Peach Tree, and a high level of experience using Excel.
Strong written and oral communication, customer service, and organizational skills.
Prior experience in independent schools or nonprofits is a significant plus.
The physical activities required of this position are normal and typical for a school environment and are essentially administrative in nature, requiring the ability to sit for prolonged periods at a computer, lift up to 25 pounds, and access buildings and classrooms on campus.
