Act as a primary contact for employees with HR-related questions including, but not limited to, payroll, benefits and policies
Propose and implement initiatives to enhance and strengthen the HR function of the school
Act as a liaison between the Faculty and Staff Association and senior School Leadership with regard to personnel matters.
Coordinate new employee orientation efforts in a way that allows new members of our community to understand our school’s culture
Coach supervisors and employees in areas of conflict resolution and progressive discipline
Handle employee relations issues including, participation in internal investigations, offering recommendations for resolution and consulting with legal counsel when necessary
Advise leadership on disciplinary issues that arise and on possible legal implications
Manage employee separation process for both voluntary and involuntary termination, and conduct exit interviews
Work with faculty and staff to ensure impactful professional development
HR Policies and Practices
Administer all Human Resources policies and practices; analyze existing policies and practices in order to propose improvements and/or issue new policies when needed
Provide necessary human resources training including, sexual harassment/assault reporting, mandatory reporting for child abuse and non-discrimination
Annually review and publish Employee Handbook; coordinate collection of employees’ acknowledgment of receipt
Make recommendations for employee safety, welfare, wellness and health, as needed
Employment Law and Compliance
Ensure that employment practices comply with federal and state law and that all employees are informed about statutory labor laws
Ensure compliance with all applicable local, State and Federal wage and hour laws/regulations
Perform a comprehensive evaluation of Pension Plan administration, Plan documents and Plan investments; make recommendations to improve current practices and programs; coordinate an update to Plan documents
Review and maintain processes for compliance with the Affordable Care Act
Handle administration of FMLA, statutory disability, and Workers’ Compensation requests, including the tracking of leaves and correspondence with employees
Coordinate and facilitate the Annual Pension Plan audit and Discrimination testing
Prepare worksheets required for annual financial review by external accountants
Prepare and ensure that annual 5500 reports for qualified benefit plans are filed
Prepare and timely submit regulatory employment reporting as required (EEO for example)
Compensation and Benefits
Administer and process semi-monthly payroll for all school employees
Administer benefits programs including, but not limited to, health, dental and vision insurance, FSA, 403(b) Retirement Plan, Supplementary Disability, Life/ADD, FMLA, COBRA, etc.
Manage health-care insurance open enrollment process. Partner with external vendors to arrange for distribution of materials, communicate benefit changes to employees and arrange for on-site representation by providers.
Coordinate and accurately prepare annual faculty and staff employment agreements
Ensure recruiting best practices; provide comparative salary ranges to hiring managers and benefits information to candidates
Obtain proper documentation of reference checks and background checks
Contract with outside staffing services to provide recruitment and temporary staffing services, and maintain job posting sources
Write job descriptions as necessary; ensure that all positions have accurate written job descriptions on file and correct FLSA classification of jobs.
Facilitate the annual end-of-year performance evaluation process
Provide guidance and support managers on communicating performance feedback
Coordinate and implement salary changes, ensuring documented authorization
Ensure that effective internal controls over payroll and benefit processing are maintained
Perform compensation benchmarking to ensure equity and market competitiveness
Respond to employment verifications and to unemployment claims
Record Keeping and Reporting
Maintain documentation for all personnel transactions such as hires, promotions, transfers, performance reviews, and terminations.
Track and report on employee paid sick leave, paid personal days and vacation.
Collect and maintain employee statistical data
Complete surveys requiring this data and be able to use surveys as benchmarking tools.
Maintain secure and confidential personnel files.
Ensure compliance with I-9 verification procedures, fingerprinting, and TB tests as needed.
Ensure collection of all benefit and regulatory compliance paperwork.
All other duties as assigned by the Chief Financial Officer or Head of School.
A. or Master’s Degree in Human Resources or a related field
Four to six years of relevant professional experience as an HR generalist
Certification as a Human Resources and/or Payroll Professional preferred
Record of demonstrating ethics and integrity in the workplace - treat people with respect, keep commitments, inspire the trust of others, uphold school values
Demonstrated professionalism and trustworthiness in maintaining the confidentiality of sensitive information
Strong knowledge of employment laws and practices including ERISA, FLSA, ADA, Workers’ Compensation, FMLA/FLA/Pregnancy Disability, HIPAA and OSHA regulations
A comprehensive understanding of personnel management and practices
Strong verbal and written communication skills
Ability to utilize resources to make recommendations to effectively resolve problems or issues, by using judgment that is consistent with school culture, standards, practices, policies, procedures, regulations and/or government law
Ability to coach employees through complex, difficult, and sensitive issues
Demonstrates knowledge of EEO policy; shows respect and sensitivity for differences; educates others on the value of diversity; promotes a harassment-free environment; helps build a diverse workforce
Expert management of multiple priorities, functions and activities
Expertise in standard office applications, such as MS Office, Word and Excel, and familiarity with the use of Gmail and Google Docs
