Concord Academy relies on robust fundraising and engagement efforts across a diverse population of parents, alumnae/i, and friends. The Advancement and Engagement department seeks a service-oriented and highly technology savvy Gift Entry and Record Management Specialist to coordinate all gift deposits and maintain the integrity and accuracy of constituent records. This role is responsible for processing regular gift batches in Raiser's Edge, a comprehensive, integrated, relational database system; production of gift receipts, individualized acknowledgement letters, gift batch reports; updating constituent contact information; supporting the Director of Advancement Services in data analysis and other data-related projects. Works in close collaboration with the Finance office to ensure strong audit and pledge-management practices.
Understands and integrates gift entry rules and policies.
Coordinates and prioritizes day-to-day gift processing activities including, but not limited to, mail collection/sorting, review of gift documentation, scanning of gift documentation into donor records (Raiser’s Edge), maintenance of gift files and handling gift-related customer service telephone calls, focusing on a positive donor experience.
Accurate and timely processes gift batches in Raiser’s Edge including checks, credit cards, securities, electronic funds transfers, payroll deductions, monthly recurring gifts, and matching gifts. Communicates with Director of Advancement Services to ensure precise processing of gifts and to ensure financial integrity and accuracy.
Creates and circulates of gift reports for Advancement and Finance offices.
Reconciles gift revenue with Raiser’s Edge (RE) and Finance Office. Troubleshoots discrepancies making necessary gift adjustments.
Produces gift receipts and individualized acknowledgement letters for all gifts received in a timely and accurate fashion.
Maintains pledge records/files; Tracks outstanding pledges and produces donor-centric pledge reminders and reports as appropriate.
Makes timely and accurate constituent updates in RE to biographical and other relevant data received through a variety of internal and external sources including gifts, on-line information forms, intra-campus updates, surveys, events, prospect meetings and research.
Completes regular data audits in RE to ensure consistent and accurate data entry.
Assists with on-campus special events and other Advancement duties as deemed necessary by Director of Advancement and Engagement.
Associate’s degree in related field required; Bachelor’s degree preferred. Three or more years of relevant experience;
Proficiency with Microsoft Office required, relational database experience (Raiser’s Edge) preferred;
Superb technology skills;
Ability to learn complex data entry codes and procedures quickly;
Excellent organizational skills;
Interpersonal skills with a focus on tact, patience and courtesy;
Ability to employ sound judgement and maintain gift and record confidentiality;
A high level of integrity, honesty and strong work ethic;
Comfortable working on multiple tasks with interruptions in an energetic environment;
Ability to take initiative and follow through;
Work well under pressure with periodic heavy workloads (especially calendar and fiscal year-end);
