The Office Manager supports the philosophy, and principles of a Western Reserve Academy education - integrity, compassion and excellence. The Office Manager provides administrative support to and is an integral member of the Office of Admission. This position involves a heavy volume of email and telephone contact and demands a high level of professionalism, public relations and computer literacy as well as the ability to handle confidential information in a discreet manner. The position requires a self-starter who takes initiative and has the ability to prioritize tasks with minimal direction and who is detailed and deadline oriented.
Serve as primary contact for the Office of Admission for prospective families; providing information and supporting documents to prospective families regarding all aspects of the Admission cycle from inquiry to enrollment. Respond to heavy telephone and email contact from inquiring and current families. Screen and forward calls to the appropriate Admission Team member.
Oversee the creation of admission folders and documents received by mail and from online application sources, including materials sent by consultants and organizations. Help families complete admission files, taking appropriate steps to facilitate applicant folder completion. Continually reviewing application folders for completeness.
Create weekly and monthly dashboard reports based on current and comparative historical data.
Manage the Admission office calendar and schedule visits by prospective families.
Use Admission Office software including but not limited to Senior Systems to manage inquiry, enrollment and student data.
Create invitation lists for and serve as the lead contact for all on-campus Admission events including Open Houses, admission visit days, new student events, and Registration Day.
Maintain department supplies including publications and printed matter, office supplies and visitor refreshments.
Maintain SEVIS I-20 system including generating documents for incoming international students.
Maintains up to date budget reporting including processing accounts payable and credit card statements.
Reviews and updates department subscriptions and memberships.
Collaborates with other offices and departments on school wide initiatives and events in a professional and supportive manner.
Other duties as assigned by the Dean of Admission and Head of School.
Bachelor’s Degree or equivalent office experience preferred. Acquired knowledge and experience to handle multiple priorities is a requirement, as well as experience accommodating visitors, students and families in a professional, welcoming manner. Excellent verbal and written communication skills with attention to detail required. Experience with database systems is required, experience with admission software is preferred.
