The Development Associate is responsible for all administrative aspects of development and supports the Assistant Head for Institutional Advancement to deliver on goals set by the School. This position is 80% full-time employment or 32 hours a week. The start date is immediately.
Essential Duties and Responsibilities
The Development Associate plays an important role by providing administrative support to the Office of Institutional Advancement, and by participating in all fundraising activities including donor and public relations, direct mail appeals, and special events.
The Development Associate will be responsible for maintaining the Raisers Edge database and for generating output from the database for reports, acknowledgements and mailing lists. Specifically, the Development Associate will:
Issue regular reports on progress-to-date:
Annual Fund reports for management and the board
Annual Fund reports for Class agents
Annual Fund reports for Faculty & Staff
Reports having to do with collections/participation for events
Ongoing database cleaning and updating
Implementing use of “finder” product suite from Blackbaud
Correcting records from mail returns
Updating RE for updates to Whipple Hill information
Making sure graduating students are recoded as “Alumni”
Pulling lists for invitations. Cleaning those lists.
Preparing call sheets for the Telethon
Preparation of Annual appeal letters for the trustees
Preparation of various other letters (mail merges with giving information).
Pulling and cleaning the lists for the three Annual Fund appeal letters.
Pulling and cleaning the list for the Annual Report.
Creating and updating tracking sheets for the class agents
In addition, the Development Associate will share responsibility with the Assistant Head for Institutional Advancement for all IA events. Specifically, the Development Associate will:
Create online registration forms for all events.
Manage attendance lists for all IA events.
Help with arrangements for all IA events (fundraising and friendraising)
Speakers (book and manage their trips)
Food & Beverage
Decorations, if applicable
Music, if applicable
Booking spaces in the school and creating floor plans
Space set-up and take-down
Rentals, if applicable
Parking issues and permissions
Police detail, if applicable
AV, if applicable
Petty cash/business office reconciliation
Extra Facilities needs, if applicable
Take the lead in setting up and managing the technological aspects of fundraising events including software for the annual auction fundraiser
Secure auction items and sponsors
Design and produce displays for auction items or other FR materials
Set up a system to collect payments on-site
Coordinate with the graphic designer to develop a program book
Produce acknowledgments after the event, for gifts, donations, sponsorships, volunteer support, and in-kind gifts.
Hand-manage certain registrations
Coordinate with parent and other volunteers
Coordinate with faculty
Coordinate CFS participation in events run by others
Bachelor’s degree required
Minimum of 5 years experience in development.
Knowledge of Raisers Edge is a requirement as is proficiency with the Microsoft Office suite, especially excel
Must have excellent written and communications skills
Must be able to relate to persons of significant means and project a professional demeanour to donors and prospects
Must be able to work independently, manage multiple projects at once and have superb planning skills
