The Derryfield School seeks an enthusiastic and dedicated Registrar to begin in July 2017.
The Registrar and College Counseling Coordinator is responsible for maintaining all student records and provides administrative support to the College Counseling office. This is a highly collaborative position that requires interaction with all constituencies of the school, both internal and external.
Essential duties include:
Maintain students’ academic and extracurricular records and serve as a resource for students and families throughout their Derryfield experience.
Process incoming and outgoing students; prepare related documents, records and files; coordinate with the Business Office, Admission Office and Division Heads to manage documentation, support transitions and verify credit transfers, curriculum requirements and course selection.
Manage the process for submitting written comments, reporting grades each trimester and final grades, and support teachers during the grade recording process. Assist the Technology Department with implementation of software as related to Registrar’s responsibilities.
Prepare transcripts for all students; post trimester and final grade reports. In addition, respond to Alumni requests for transcripts when needed.
Query data from the student information database for reports and data requests.
Maintain a high degree of data integrity in coordination with other support staff.
Manage student academic and co-curricular awards and help coordinate award ceremonies and commencement.
Work closely with the Director of College Counseling to support the work of the College office.
Greet families, students and college representatives. Schedule and coordinate over one hundred college visits each fall.
Generate the school profile, college planning calendar and other documents for the college office.
Maintain the Naviance college database and student information and access.
Manage the tracking and sending of all teacher recommendations, counselor reports and transcripts to colleges.
Manage the input and tracking of standardized test data.
Assist with regular reports to the Head of School and Board of Trustees.
Support students and coordinate school materials for National Merit, NCAA and scholarship applications.
Work closely with the Middle and Upper School Division Heads regarding student progress and record keeping.
Ability to multitask, ascertain what people may need, provide immediate assistance, and prioritize accordingly.
Attention to detail and the ability to respond quickly to time sensitive requests.
Ability to communicate effectively with all constituents in a school environment.
Flexibility and a sense of humor.
Eagerness to learn new systems, try new approaches and a growth mindset.
Strong technology skills including word processing, Google Suite, Excel, and web-based tools. WhippleHill/ My School App, Blackbaud-Education Edge, Naviance and Education Edge experience preferred.
