The Capital Campaign Coordinator at North Park Elementary School in Chicago will work closely with the Head of School, Director of Development, Development Committee, and Capital Campaign Committee Chairs to keep the campaign on schedule and progressing with a high level of visibility and momentum, that engenders a sense of excitement, optimism and confidence in achieving the capital campaign goal.
The Capital Campaign Coordinator will handle administrative and clerical tasks, including, but not limited to:
Maintaining communication with the Director of Development and members of the campaign team;
Providing a clear evaluation of the campaign's progress and performance;
Responding to inquiries; and
Developing and assessing specific campaign goals.
Successful candidate has strong analytical skills and an eye for detail. Other useful skills are communication, interpersonal, problem-solving and decision-making.
Major Donor Work
Arrangement meetings with major donors
Schedule meetings between Head of School and campaign leaders with prospective donors including confirmation communication before the meetings.
Monitor the progress of identified meetings with participants and maintain momentum with donor.
Handle meeting responsibilities as necessary, including coordinating schedules, sending confirmation emails prior to the meeting, and sending any necessary information to the donor before the meeting.
Prepare materials needed for major donor meetings
Customize materials as well as keeps them updated and organized.
Prepare donor meeting materials as directed by the Head of School and solicitors.
Follow up from major donor meetings
Acknowledge donors and send materials or follows-up as promised at the meeting.
Update and file records of the meeting with follow-up actions.
Conduct prospect identification and research
Conducts prospect research to identify prospective donors
Work with the Campaign Committee and Marketing Committee to develop and execute a communication plan for donors.
Plan and execute campaign related events.
Plan and execute mail solicitations, in conjunction with the Director of Development.
Campaign Committee Work
Work with the Head of School and campaign leaders to schedule committee meetings and organize necessary material to have available at the meeting.
Attend each meeting and keep accurate notes, especially next steps and responsibilities.
Follow up with each person about their responsibilities.
Coordinate other meeting follow up, such as drafting notes for the Head of School and campaign leadership.
Gift Acknowledgment and Tracking
Follow the gift acknowledgement plan created by the Development Committee.
Credit each gift appropriately in Raiser’s Edge, noting any on-going pledge payments and reminders.
Update the campaign reports.
Maintain an updated list of naming opportunities.
Campaign Reporting and Coordination
Communicate with the Head of School and Director of Business and Operations to develop and maintain an accurate report of campaign progress to date.
Coordinate campaign communications with the Director of Development including messaging so as not to conflict with the annual event, the annual fund, or other operating fundraising and volunteer efforts.
Prepare materials for dissemination to members of the board, parent, grandparent, or alumni community.
Communications and Public Relations Planning
Assist in developing and executing, with the Head of School, campaign leadership, Director of Development, and Marketing Committee, a public relations/ communications plan to keep the campaign in the public’s eye and to maintain its momentum.
