Provide general administrative, communication and clerical support to the Dean of Students. Serve as a primary point of contact for the Dean of Students' office communicating with students, teachers, staff, visitors and parents/guardians on a daily basis in person, over email, and via telephone. Provide administrative support including, but not limited to, ordering supplies, routine correspondence, emailing, managing student records, managing data contained in Excel spreadsheets, preparation of materials which may include copying, scanning and/or collating, retrieving mail, and managing calendars. Receive, process and file all student and supervisor reimbursements and payroll documentation along with other university paperwork while maintaining all necessary files for proper documentation of program activities. Resolve and/or refer problems, assist with reconciling budgets. Assist in the coordination of school events, such as field trips, graduation, Parent Teacher conferences, Parent Night, assemblies, etc. Produce school related electronic and paper form letters. Handle the production of payroll related forms for student employees in the office. Develop and maintain an understanding of the organization and culture of the Laboratory Schools and the School Program. May have oversight of student workers providing routine orientation to the office.
High School diploma or equivalent required; college degree preferred.
Candidates must demonstrate the following competencies: manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with adolescent students, teachers, staff, parents/guardians and other visitors; maintain absolute confidentiality; communicate effectively in English, both orally and in writing; identify priorities; recognize and resolve or refer problems; work effectively with supervision and as a part of a team; use or learn a range of position-related software applications; significant reception and clerical experience required, preferably in an academic environment; knowledge of Macintosh computers, Microsoft Word and Excel required; experience with database and learning management systems required, preferably with GEMS, Schoology and PowerSchool; ability to organize work, compose correspondence, and maintain records required; attention to detail and follow-through required; excellent organizational skills and a high degree of flexibility and initiative required; ability to be adaptable to the environment
