The Events Manager works closely with the Alumni and Development office and volunteers to implement and maintain schedule of various events both on and off site. Additionally, the Events Manager will develop and implement a comprehensive events plan to maintain strong relationships with donors making annual and campaign contributions and gifts of time. The Events Manager maintains ongoing momentum for stewardship and cultivation events as well as campaign gatherings in accordance with Thacher mission and values.
Plan and execute Alumni Day, Grandparents Days, Auction Weekend, and Reunion Weekend, hosting 100-450 attendees and utilizing volunteers. Including:
Scheduling locations, dates, times and staffing
Creation of queries, generation of mailing lists and management mailings of event invitations.
Coordination of housing assignments when applicable.
Management of all event logistics for preparation, execution and debrief
Oversight of all communications and publications, auction databases and website management, and reporting.
Management of indoor and outdoor activities and seminars, formal banquet and memorial services.
Working with office Relationship Managers to meet various volunteer needs
Management of budget and revenue reporting
Meet internal stretch goals annually
Coordinate, plan and execute any campaign-calendared events when applicable.
Plan and execute 10-20 off-campus alumni, networking and campaign events annually, each with 20-250 attendees, including dinners, cocktail parties, wine tastings, and excursions.
Manage website events pages and event registrations using NetCommunity and Whipple Hill.
Assist with reporting and distribution of school’s Annual Report on Giving and other stewardship materials.
Assist with proofing and editing of outgoing correspondence including solicitation and stewardship letters, all emails, publications, and biannual Thacher magazine.
Create queries, generate mailing lists and manage all mailings (in-house and outsourced) for event-related materials and publications.
Secure vendors and oversee process for print publications and communication supplies.
Assist with coordination and execution of stewardship plan.
Balance multiple tasks and projects while delivering quality work on schedule.
Maintain confidentiality of Alumni and Development Office information
3+ years experience with event planning and/or fundraising
Experience with Blackbaud‘s Netcommunity and/or Raiser’s Edge or an equivalent CRM, experience with Mac products preferred.
Bachelor’s degree or equivalent required.
Demonstrated experience leveraging information to make sound, data-driven decisions.
Ability to lift 20 lbs.
Project management skills, including planning, budgeting, and the ability to balance multiple tasks and projects while delivering quality work on schedule.
