In July 2015, the Walton Family Foundation announced the development of a new independent school that will open in downtown Bentonville, Arkansas in the fall of 2017. Thaden School now seeks an Executive Assistant to support the Founding Head of School (HoS).
About Thaden School
Thaden School offers a challenging and innovative educational program designed to ignite in its students a passion for discovery and learning, prepare them to succeed in college, and inspire them to lead lives of integrity, purpose and responsible global citizenship. The school will open in the fall of 2017 with grades 7 and 9 and scale up gradually to a total enrollment of approximately 550-650 students by 2021. As a non-profit corporation, it operates as an independent entity under the governance of its own board of trustees.
Responsibilities of the Executive Assistant
Reporting to the HoS, the Executive Assistant supports the HoS’s daily office and school operations, plans and manages major school events, acts as liaison between the HoS and students, parents, faculty and the community, and supports all projects initiated by the HoS. The responsibilities of the Executive Assistant are likely to evolve over time but will include the following from the start:
Providing day-to-day administrative assistance to the HoS, including calendar maintenance, meeting organization, preparation of correspondence and reports, and database maintenance;
Planning and coordinating major campus events including school opening, closing, and commencement;
Planning and coordinating meetings of the Board of Trustees, including compiling, distributing, and curating meeting materials, and taking meeting minutes;
Supporting administrator recruitment and hiring efforts, including managing travel and interview schedules as well as orientation sessions;
Working with the school’s business office to prepare and maintain employment contracts and letters of appointment for faculty and staff;
Overseeing collection of documentation and schedules for accreditation and related conference participation;
Updating the school’s website and responding to inquiries regarding school events;
Providing HoS reception and office coverage, including answering phones, and greeting visitors, students, parents and staff;
Assisting with many other roll-up-your-sleeves efforts needed to prepare the school for opening in August 2017.
Experience and Skills
Experience as an executive assistant or office manager responsible for executing a variety of administrative processes such as creating and maintaining filing systems, managing executive calendars, processing invoices, updating websites, etc.
Familiarity with software and technical applications including Microsoft Office 365 Outlook (calendars, MSWord, Excel, PPT, Skype), Google for Education (Gmail, Google docs, etc), Blackbaud, WordPress, and/or Adobe Creative Suite (Photoshop, InDesign)
Experience in education and/or non-profit environment strongly preferred
College degree preferred
Strong communication and interpersonal skills
Thrives in a challenging, fast-paced work environment requiring versatility, adaptability and resourcefulness
Ability to prioritize effectively and work autonomously in a self-directed manner
Willingness to undertake simple and complex tasks with equal enthusiasm and energy
Excellent judgment and discretion in responding to urgent, confidential matters
