Reporting to the Director of Advancement, the Director of Advancement Services supports all the activities of the Advancement Office through the accurate maintenance and oversight of all donor records. This support also includes individual donor correspondence, mailing production, report generation, stewardship implementation, and special event support. Accurate and robust data are essential to successful advancement operations. Major responsibilities:
Gift Accounting and Acknowledgement
Process and enter all gifts to Stevenson into the Advancement Raiser’s Edge database.
Direct and implement pledge fulfillment process
Maintain all donor records
Reconcile all gifts with the Business Office.
Produce and oversee acknowledgment letters and receipts for all gifts to the school.Database Management
Maintain accurate donor and prospect records for use by Advancement.
Maintain the Raiser’s Edge training manual/standards and communicate updates with Advancement office colleagues.
Train all staff on the standards of the Raiser’s Edge database.Reporting
Develop and produce internal donor and gift reports to support Advancement strategy.
In collaboration with the Director of Development, produce reports on advancement activities for the board of trustees.
Complete external data surveys such as VSE and NAIS.
Develop reports and programs that provide information on the results of all endowed and restricted funds.
Produce the Annual Report working closely with the Director of Communications.Research
Research alumni, parents and other constituents on an ongoing basis to maintain accurate contact information
Run wealth screenings annually
Conduct or commission donor research profiles as necessaryOther duties
Support the implementation of the stewardship and recognition program for donors to Stevenson, including correspondence, gift reports, events, signage, etc. working closely with the Director of Advancement and the Director of Annual Giving.
Provide supporting data and information for the campaign staff and assist in developing written proposals to foundations and other potential donors.
Establish a cooperative working relationship with the Business Office to ensure accurate financial information.
Ensure confidentiality of departmental information.
Superior written, oral and organizations skills; highly effective at multi-tasking.
Ability to communicate effectively with all members of Stevenson community.
Attention and passion for accuracy and detail.
Three years experience in managing records and a proficient knowledge of database systems (Raiser’s Edge a plus) and Microsoft Office Suite.
Strong familiarity with independent school environment.
Bachelor’s degree required.
