Supports the Advancement Office’s relationship-building and fundraising activities by effectively and strategically creating, organizing, and managing events. This is a staff position.
At the discretion of the VP of Advancement, the Advancement Events Coordinator is responsible for the organization and management of all Advancement events and activities. The AEC will work closely with the Director of Alumni Relations & Giving and Director of Parent Relations & Giving to plan and execute activities as directed, including, but not limited to, proposed Campaign regional gatherings/Head of School celebrations, Reunion Weekend (including Hall of Fame/Woman of Distinction program and logistics), Parents Weekend, Gala, regional LFA receptions, Parent Association meetings and events, local and national alumni events, Faculty-Staff Appreciation, Senior Class Dinner logistics, Alumni Advisory Board logistics, stewardship initiatives (such as Cornerstone Dinner and donor recognition programs), and other cultivation events (such as Chicago Networking Event and dinners for Advancement and Head of School) as necessary.
Work with Advancement staff to maximize relationship-building with alumni, parents, donors, on-site and off-site vendors, as well as manage all internal event details with on-site caterer and facility management office.
Manage work flow for Reunion class assignments while overseeing a number of reunion class gatherings as well.
Must embrace and work in Senior Systems, LFA’s integrated database.
This person is an integral part of the Advancement Office team.
Sample Characteristic Duties and Responsibilities:
Update and maintain assigned website content
Manage event RSVPs
Learn Senior Systems database to pull lists, create mailings, record attendance and efficiently plan events
Participate in the life of LFA
Perform other duties as assigned, or required
Available to manage evening and weekend events throughout the school year
Bachelor’s degree or cognate business experience
Must be able to work collaboratively
Annual giving, and/or alumni program experience a plus
Familiarity with independent schools or private higher education
Excellent communication skills; strong writing and presentation skills
Discretion and an ability to interact professionally with alumni and donors
Ability to navigate personal computers, Google Suite, MS Office software programs, including Word and Excel, as well as a willingness to learn the database
1-2 years of development/event planning preferred, or experience in marketing, sales, public relations, or other related fields
