Stevens Cooperative School seeks a temporary office manager from mid-June through mid-October. The office manager provides various support services for students, parents, faculty and administrative personnel. This position promotes positive relations with families, staff and the general public. The interim office manager will run the front desk and provide administrative support during our summer programs June through August and transition into the school year performing duties outlined below. The office manager reports to the Executive Assistant to the Head of School.
Office Manager Responsibilities
Warmly greets families, students, and visitors entering the school and provides assistance when needed.
Maintains visitor logs and makes sure that visitors provide identification and signs in and out.
Answers, screens and transfers calls appropriately. Takes and forwards detailed messages in a timely manner.
Keeps reception area tidy and organized and replenished with up to date school brochures and materials.
Stays updated on school happenings to be able to answer general inquiries.
Ensures that the building is safe at all times for our students and efficient for faculty and staff
Maintains and troubleshoots all office machinery and arranges service if necessary.
Updates and maintains bulletin boards, phone lists and hard copies of forms.
Acts as a liaison to our landlord and our maintenance staff for any building issues.
Receives and distributes mail and packages appropriately and in a timely manner.
Handles projects requested by administrators and Head's assistant.
Assist teachers and parents as needed.
Arranges trip details and transportation for teachers.
Keeps budgeting document up to date at all times for the academic Team.
Provides class list and contact information upon request.
Makes copies and prints for teachers and administrators when requested.
Records student attendance in Filemaker
Relays any changes in dismissal notes to the appropriate teachers.
Monitors sick or hurt children and provides basic first aid (band-aids, ice packs, taking temperature, administering medication if child has permission from parents. Contacts parents when appropriate to pick up child).
Receives and handles payment and registrations for school events.
Files incident reports electronically
Assists with walking young students from one building to another for our afterschool program.
Supplies and Orders
Places order for snacks, general supplies and special request and tracks all orders.
Routinely organizes and does the inventory for all supply and snack cabinets
Submits purchase order documentation to the Business office in a timely manner
