The Advancement Associate position for Saint Thomas’ Episcopal School’s Advancement Department is a full-time, 12-month position with full benefits. The position reports to the Director of Advancement and works on projects in association with the Director and other staff members as requested. A primary responsibility of the position is to facilitate relationships between the school and various constituent groups including, but not limited to, donors, school administration and staff, faculty, students, parents, and community organizations.

The Advancement Associate will support the mission of the school and the goals of the Advancement Department. The ideal candidate is proactive, energetic, and self-motivated with a desire to learn and grow with the Advancement Department.
Plan and implement advancement and admissions events including, but not limited to, Back-to-School Spaghetti Dinner, Fall Fair, Admissions Open Houses, Grandparents’ Day, New Family Orientation, and Gala & Auction.
Plan, implement, and oversee the room parent program and special event volunteer program. Assist with donor and volunteer recognition and stewardship.
Assist in all fundraising activities on campus.
Enter and maintain accurate gift/pledge records and donor records in Veracross, Excel, and paper file system.
Draft professional solicitation and thank you letters.
Generate mailing lists, mail merge and print documents for mailings using Veracross, MS Word, and Excel.
Assist in preparing Advancement and school publications and collateral materials.
Maintain the Advancement sections of the school’s bulletin board and keep folders up-to-date on Veracross, the school’s information system.
Assist with other school endeavors as requested by the Headmaster, Director of Advancement, and Director of Admissions.
Exceptional verbal and written communication skills.
Available for night and weekend events and activities as needed.
Protective of confidential information regarding the privacy of donors and the integrity of the Advancement Department.
Experience with database management and preparing reports. Familiarity with fundraising software preferred, e.g., Veracross and Give Smart.
Proficiency with Excel and other Microsoft applications (Word, PowerPoint, Outlook), and basic office equipment.
Experience in a non-profit fundraising department preferred.
Conscientious, results-oriented, organized, courteous, with professional attitude and appearance.
Knowledge of Houston community a plus.
Experience with Adobe InDesign a plus.
Bachelor’s Degree required, and Master’s preferred.
