FUNCTION: Reporting to the Chief Advancement Officer, the Data and Research Specialist has responsibility for maintaining the full constituency data-base and employing creative strategies to maintain current biographical and demographic data to support outreach and engagement of Cheshire Academy’s alumni, parents and friends. The specialist will enter gifts and pledges and receipt as appropriate, produce gift acknowledgements, and maintain other customer relationship management systems. The successful candidate will ensure a level of database integrity that supports use to its fullest capacity for prospect identification, cultivation, solicitation, and stewardship, as well as active research through on-line and other sources to support prospect development and performance analytics.
DUTIES AND RESPONSIBILITIES:
Gift Entry & Acknowledgment:
receive and enter all gifts into database with appropriate coding;
manage check, credit card, stock and online donation processes;
collaborate with the Development team in setting up acknowledgement letters for editing, and ensure Raiser’s Edge is updated with acknowledgement completion and date;
manage the department's hard copy and electronic donation files;
administer Raiser’s Edge information system, including granting user access and ensuring data integrity is maintained.
Revenue Reporting & Reconciliation:
convey all cash, checks and credit card receipts to the Finance Office on a timely basis;
implement various measures to encourage matching gifts and process matching gift forms received;
work closely with the Finance Office to insure accurate recording of the office’s fund-raising income and expenses on a regular basis and support monthly reconciliation;
provide reports and other data to the Finance Office in compliance with IRS requirements and provide support and back-up for annual audit;
generate pledge reminders;
recommend and implement policies and procedures to data integrity and security, and gift processing.
Database Management & Reporting:
manage all aspects of Raiser's Edge database, maintaining its accuracy and integrity including continuous updates and corrections as necessary;
create and update records for new and current families and alumni, including managing data transfer between departments
maintain records in Raiser's Edge database and provide reports on prospects, donors, alumni, giving and events. create all queries, reports and lists needed to support activities of the Development & Alumni Relations Office. provide weekly/monthly reports for status in appeals, campaigns, annual fund and alumni relations management.
support growth in leadership giving through the identification of new prospects through data-mining projects, including using on-line search tools and wealth screenings, to help ensure robust prospect pools;
create briefings to support staff and volunteer prospect management work;
develop prospect lists to support creation of prospect pipelines for priority and special interest fundraising.
special event coverage, including some weekend and evening work is expected;
other duties as deemed necessary by the Chief Advancement Officer.
EDUCATION AND WORK EXPERIENCE:
College degree and two-to-three years administering information systems of educational or non-profit institutions preferred.
SKILLS AND ABILITIES:
Experience with the management and administration of relational database management systems, preferably Blackbaud Raiser’s Edge
Exposure to Crystal Reports in Prospect/Events/Tribute modules in Raiser’s Edge
Proficiency using on-line tools for prospect research, such as Google, LinkedIn, Facebook, NOZA and SEC filings
Preference for experience with alumni relations, annual giving, capital campaigns, special events & constituent relations
Aptitude with Microsoft Word, Google Forms, Excel
Superb communication skills, both verbal and written
Highly organized and able to prioritize tasks
Extraordinary attention to detail
Ability to work in a multi-cultural environment with students, faculty and staff
Additional Salary Information: Compensation will be commensurate with experience and qualifications.
