Tampa Preparatory School is seeking an energetic, thoughtful, compassionate, flexible, and organized Director of Athletics with excellent communication, interpersonal skills, and professional demeanor to lead the School’s athletic and physical education programs. The Director of Athletics reports to the Head of School and is a member of the Senior Administrative Team, will exhibit initiative, excitement, involvement, a sense of community, ability to coordinate, and a dedication to the School’s overall mission. This position requires a unique combination of skills, a positive attitude, and a firm understanding of the School’s athletic philosophy. The Athletic Director must also possess the ability to work under pressure and through pressured situations. As an advocate, cheerleader, and general champion of the Athletic and Physical Education departments, the Director of Athletics should contribute to the overall satisfaction of the student-athlete experience as well as help families navigate the athletic experience for their students at Tampa Preparatory School.
Meet with the Head of School as a member of the Head’s administrative team on a weekly basis.
Participate in the development and enhancement of athletic and physical education departments.
Present to the Head a proposed budget for the next year by October 15th of the previous year.
Review the budget and coaches’ stipends with the Head of School.
Hire, evaluate, and oversee all coaching staff.
Work in a procedural manner to develop and determine athletic and physical education programs, blending them carefully with the academic, co-curricular and other programs that occur within the school, consistent with the School’s mission and philosophy and the ability levels and developmental stages of the students.
Coordinate programs within the Middle School and Upper School.
Apprise both Division Directors of any changes in rules, regulations, policies and procedures with regard to FHSAA and Tampa Prep.
Provide a Coach’s Handbook, stressing professionalism and the school’s mission.
Stay attuned to any potential dangers, liabilities and the law, and report such changes to the Associate Head and the administrative team.
Participate as a member of the Florida High School Activities Association, representing the School in the highest professional manner.
Develop the athletic calendar, working with both Directors and the Dean of Students.
Oversee the Middle and Upper School Physical Education program.
Work for high performance and high morale.
Monitor the relationship between the overall ability of the students and the nature and demands of the program, taking necessary action to ensure a good match.
Determine appropriate individual placement in sports and/or physical education classes.
Serve as liaison between the School and parents on matters concerning athletics.
Assist with and prepare orientation programs for new students and their parents.
Organize seasonal parent meetings.
Be mindful of the teachers’ expectations and of the students’ needs to meet those expectation.
Work with the Curriculum Committee to develop programs that are appropriate academically, athletically, and artistically.
Recommend individual programs of professional development for the athletic and physical education staff.
Organize professional development and workshops for the athletic staff.
Seek to build a positive working relationship with all teachers.
Complete all reports that are necessary for the Florida High School Activities Association and for any other association requiring reports.
Keep abreast of all recent research, regulations, health and safety standards, and implement these procedures with the coaching staff.
Report all accidents and file an official report with the School’s Sports Medicine Team and Health Coordinator.
Assist with scheduling of all sports teams.
Encourage faculty to participate as coaches and to attend athletic contests to support student activities.
Oversee the maintenance and upkeep of all athletic facilities, reporting all necessary repairs and maintenance both the Business and facilities offices.
Oversee the scheduling of vehicles and drivers for all school events.
Oversee the Assistant Director of Athletics and Middle School Director of Athletics.
Collaborate with the Office of College Counseling in regard to students in any of the sports who may qualify for athletic scholarships and assist in the preparation of documentation for these students.
Make contact with college coaches as may be appropriate to help secure athletic scholarships.
Keep the student athlete’s college advisor apprised of any contact and any ideas as to college placement for that student.
Serve as an ambassador in the solicitation of new students.
Assist with the Open House and other recruitment activities.
Assist target families who are considering withdrawing, and work to develop plans for retention, together with the administrative team.
Keep Communications Coordinator informed of newsworthy events and student athletic achievements.
Communicate evidence of the athletic programs successes and value.
Keep parents informed about the nature and purpose of the athletic program.
Serve as the school contact for parents’ concerns about the athletic program.
Call special conferences as necessary with parents and students.
Oversee student athletic billings.
Oversee inventory of all equipment and uniforms.
Oversee the development of the website with regard to athletics.
Tracking student eligibility.
Overseeing the contracting of games and officials.
Coordinating schedules and rosters for both in season and postseason contests.
Overseeing team and coach travel arrangements.
Find, negotiate, and secure any additional athletic spaces as needed for teams unable to be accommodated by the current Tampa Prep facilities.
Coordinate team pictures, team practice schedules, as well as team and coach record keeping at the end of each team season.
Schedule athletic trainer to events and in-service programs.
Prepare and sending team mailings.
Assist in the organization of home tournaments.
Required Skills and Qualifications:
Bachelor’s degree in related field with an advanced degree preferred.
Experience in the field of coaching and athletic or sports management preferred.
Strong organizational, administrative, strategic, financial management, and interpersonal communication skills, detail and “big picture” oriented.
Strong oral and written communication skills and the ability to communicate effectively both internally and externally.
