Ethical Culture Fieldston School is a progressive PreK-12 independent school that has been serving students from throughout New York City and the surrounding suburbs since 1878. ECFS offers a rich curriculum in the arts, sciences, and humanities. A co-ed, nonsectarian school, it serves a diverse community of about 1,700 students on two campuses -- one in the Riverdale section of the Bronx, and the other in Manhattan.

We are looking for an Administrative Assistant who will provide support and ensure efficient operation of the Head of School’s office in Riverdale. Qualified candidates must possess a strong, results-driven work ethic, positive attitude, and be able to adapt to ever-changing technologies and work demands.
Reporting to the Executive Assistant to the Head of School (HOS) and Board of Trustees (BOT), the Administrative Assistant will fulfill a wide variety of office functions with a “can-do” attitude to ensure operational success.
Support Head of School’s office in Riverdale (40%)
Greeting and announcing visitors to the office
Ensuring appointments for Head of School begin and end on time
Ensuring that Head of School related meetings and events are adequately set up
Daily Office Management including tasks such as answering and routing phone calls; responding to emails; developing and maintaining an electronic filing system; managing office supplies; receiving, sorting, and distributing mail; booking event catering, conference calls, rooms, taxis, couriers, hotels, etc., as needed. Handling sensitive information in confidential manner
Partnering with Executive Assistant to the HOS/BOT to ensure that the Head of School’s office is running optimally at both locations. Occasional travel to and support in midtown office
Other duties as directed by the Head of School and Executive Assistant to the HOS/BOT
Professional Development Coordinator (30%)
Managing all schoolwide professional development requests including but not limited to reviewing applications with principals; handling registration, travel, logistics; reviewing and processing reimbursement requests; reconciling monthly credit card charges via Concur
Partnering with principals and Head of School in all questions and tasks concerning professional development budget management and various reporting
Providing assistance with event planning for faculty and staff professional days as needed
Support Assistant Head of School for Ethical Education and Social Impact (30%)
Assisting with Diversity, Equity, and Inclusion Initiatives such as conferences, workshops, and events
Providing calendar and clerical support
Ordering items as needed
5-7 years of prior administrative assistant experience. School experience a plus.
Excellent time and work management skills.
Must be punctual and possess a strong work ethic.
Superior interpersonal relationship and team-building skills.
Excellent written and verbal communication skills.
Knowledge of office systems and procedures.
Bachelor’s degree strongly preferred.
