Job Summary: We are seeking an experienced, reliable payroll administrator to join our School. In this role, you will oversee payroll operations, ensuring accuracy and timeliness. You will work in a high-volume office, processing and making changes for 250+ employees. You will work collaboratively and with a team of skilled professionals in a fast-paced, deadline driven environment, demonstrating precision and expertise, in order to maximize efficiency and productivity.
Essential Duties and Responsibilities:
Consistently, accurately process semi-monthly payroll for 250+ employees.
In coordination with the Human Resources Department, maintain current and accurate employee records
Establish pay schedules for semi-monthly processing and communicate deadlines to department heads; collect all necessary information to complete payroll in a timely manner
Calculation of, and monitoring of, benefit and retirement plan deductions for consistency with employee selections and limits
Calculate and record all pay information changes for annual and semi-monthly pay period cycles; generate payroll, produce and reconcile all required reports and journal entries, and tie to general ledger balances
Serves as liaison with outside financial and benefits auditors with respect to all payroll-related transactions, and prepares and reconciles all fiscal and calendar year-end accruals, tax forms, and payroll reports and accounts
Communicate with the Human Resources Department and employees regarding school-wide or individual changes to payroll as appropriate
Ensure that quarterly and year-end compensation reports are filed in accordance with multiple state and federal deadlines
Respond in a timely fashion to requests from unemployment and verifications of employment.
Serves as backup for Accounts Payable function
Occasionally perform work beyond a standard 40-hour work week when the work-load requires.
Other duties as directed.
Job Knowledge, Skills, and Abilities:
Excellent problem solving/judgment skills, and high level of attention to detail and accuracy.
Aptitude for numbers; performs accurate mathematical computations.
Demonstrated ability to understand complex information, and possession of technical skills to apply same in all areas of payroll administration
Understanding of federal, state, and local compliance requirements
Understanding of generally accepted accounting principles and ability to create basic general ledger entries
Willingness to expand scope of work to support financial functions
Excellent written and oral communication skills; must be able to interact and communicate well with individuals at all levels
Ability to maintain confidentiality and exercise extreme discretion.
Proficiency with the MS Office and MS Outlook platforms and internet use
Education and Experience:
Minimum 5 years’ experience processing payroll for 200+ employees on a web-based platform
High school diploma or GED; 2- or 4-year college degree preferred
School payroll processing experience preferred, as well as experience with Kronos and ADP Workforce Now
Certified Payroll Professional (CPP) or Certified Payroll Specialist (CPS) credential preferred
Required to sit for long periods of time
Infrequent light physical effort required
