The Office Manager/Registrar in the Upper School works side-by-side with the Associate Head of the Upper School to support the day-to-day operations of the Upper School Office. This role provides a high-level of administrative support to ensure clear communication with faculty, students and parents. Masters is eager to consider application from traditionally underrepresented groups.
Coordinate mailings, phone calls, emails and other inquiries; work with students that drop-in to the office
Provide administrative support to the Associate Head of Upper School to process and generate student schedules, grade reports and transcripts
Process student and alumnae/i transcript requests and graduation verifications
Support the course selection and master scheduling process by entering initial course requests and process subsequent course changes
AP exam administration (perhaps starting in 2019-2020)
Communicate with faculty and students about daily academic schedules (special schedules – based on US Head’s decision-making)
Manage participation in NYC Department of Education NYSTL orders and book distribution, including communication with families and districts for Upper school.
Order books for departments and serve as liaison with MBS Direct
Maintain files, both paper and digital
Work with Associate Head of Upper School head to schedule study halls
Track student recognition, such as Honor Roll. Aid in end of year activities such as end of year awards
As needed, and where possible, provide administrative support to LEAD (Learning Enhancement and Development) office
Additional related duties as assigned
Successful track record working with students and liaison with Division Heads, preferably in independent school environment
Excellent written, verbal communication and organizational skills, detail-oriented, and ability to work on multiple projects simultaneously
Minimum 3 years of experience in the role of Registrar
Hands on experience working in a Student Information System (SIS)
Energy, enthusiasm and curiosity – strong follow-through skills
Strong computer literacy skills in MS Office and Google Doc’s
Be comfortable working in a fast-paced environment
