The Admission Office is seeking an administrative assistant who will provide administrative and secretarial support for all aspects of the admission and recruitment process, and specifically provide support to prospective and current international students at Peddie. This person will report directly to the Director of Admission and join an admission team that currently consists of eight admission officers, the visitor coordinator/coordinator of financial aid records, and the information technology coordinator. This is a full-time, 12-month staff position.
The successful candidate must be flexible, adaptable, positive, and proactive with a strong ability to attend to countless details, and able to manage simultaneous projects to completion, working independently and collaboratively as needed. The candidate must also have a strong sense of initiative to identify and engage new opportunities that move the collective work of the admission office forward. Some evenings and weekends may be required.
Responsibilities and Duties
Process admission inquiries and application materials from all students and specifically from international applicants.
Coordinate interview and campus visitor appointments for all inquiries and specifically for international applicants.
Assist with the travel arrangements for all international recruiting efforts.
Regularly communicate with and cultivate relationships with educational consultants and placement directors who work with international applicants.
Serve as primary contact for Royal Thai Scholars Program, ASSIST, Seeds of Peace, ESU and other international organizations.
Play an integral role in the planning and execution of the international student orientation.
Manage, maintain, and administer all aspects of school’s SEVIS certification.
Act as the primary designated school official (PDSO) relating to all SEVIS matters in issuing required US government I-20 documents for international students.
Supervise visa status of current international students and manage immigration and travel-related issues of international students.
Maintain admission and enrollment statistics for the international applicant pool.
Daily office operations including phone, voice mail, and email, answering questions and referring people to the appropriate staff in the admission department.
Assist with administrative tasks such as scheduling the director’s and department-wide calendar, coordinating meetings and events, and managing travel and expense reports.
Provide overflow support to other administrative assistants and department staff members.
Other duties as assigned by the Director of Admission related to the admission and financial aid functions of the school.
Skills and Experience
Bachelor’s degree preferred.
Experience in secondary or higher education environment preferred.
Excellent oral, written, and interpersonal communication skills.
Proficient with Microsoft Office Tools (including Word and Excel) and Google Suites, and high degree of comfort and experience with computer technology.
An ability to work both independently and collaboratively.
Demonstrated capacity to take initiative.
Detail-oriented with strong organizational and project management skills.
A good sense of humor and an ability to work in a fast-paced, multi-faceted environment.
Willing and able to occasionally work evenings and weekends.
