The Controller will report to the Director of Finance and Operations, and join a highly collaborative, innovative, and experienced staff.
The Controller is responsible for maintaining the accounting systems and processes of the school. These include accounts receivable, accounts payable, payroll, and general ledger. The Controller reports directly to and works closely with the Director of Finance and Operations, applying knowledge with creativity and sound judgment to assist in developing solutions to meet programmatic and organizational needs. Attention to detail and time management are essential to success in this position. This position requires strong interpersonal skills and the ability to work collaboratively with a diverse community while maintaining appropriate confidentiality. The Controller is integral to meeting the strategic goals and the mission of Woodlands Academy of the Sacred Heart.
Specific responsibilities include:
Accounts Receivable: Oversee and maintain accounts receivable system and relationship with Senior Systems Tuition Management; maintain all ledgers and files associated with accounts receivable.
Accounts Payable: Oversee and maintain purchase order system; process bill payments in timely fashion; maintain vendor data base; maintain all ledgers and files associated with accounts payable.
Payroll: Process semi-monthly payroll; oversee and prepare, where needed, and reconcile all pertinent tax and other required government filings; maintain all records associated with payroll.
General Ledger: Maintain the Chart of Accounts; complete end-of-month closing in a timely fashion; generate monthly trial balance, balance sheet and income statement; balance cash, line of credit and other accounts as directed; generate monthly reports for all departments; monitor budget vs actual throughout the year.
Banking: Record deposits and on-line payments to school; maintain daily cash flow sheet; monitor bank balance for timely cash management purposes; reconcile bank statements.
Advancement: Coordinate with Advancement Office to ensure that gifts are properly recorded; monitor restricted funds to insure that they are used in accordance with restrictions.
Audit: Prepare year-end audit schedules and work papers as needed or requested by auditors; be available to assist auditors during their field work.
Support: Initiative, creativity, sound judgment, collaborative spirit, and enthusiasm are vital assets in providing support and assistance to the Director of Finance and Operations.
Education and Professional Experience:
Education: BA/BS in Accounting, minimum; CPA is considered a plus
Experience: Minimum of 5 years accounting experience
Required Skills: Strong computer skills: Financial management software, Microsoft Word, Excel, Outlook
Preferred Skills: Familiarity with Senior Systems; ADP or other payroll platforms
