Charles Wright Academy is an independent coeducational day school offering a broad curriculum in the liberal arts. Founded in 1957, the school enrolls 680 students in grades junior kindergarten through twelve. Summary: This position is a full-time staff appointment for the 2018-19 academic year. The Executive Assistant provides the highest level of administrative support, liaison presence, and office responsibility on behalf of the Head of School, Associate Head of School, Senior Leadership Team, and the Board of Trustees. Responsibilities: - Provide support of a complex, responsible nature to the Head of School, Associate Head of School, Senior Leadership Team, Board of Trustees, general school administrative staff and constituents as needed.
- Assist the Board of Trustees Chair, the Executive Committee, and Board Committee Chairs. Manage the Board’s annual budget, maintain annual documents for the Board and Board historical records. Maintain the Board’s annual calendar, plan logistics for all Board and Board Committee meetings, attend the Board meetings, record proceedings in accurate and concise manner, and prepare minutes for distribution.
- Assist the Head of School with any Board responsibilities.
- Manage the Head of School’s and Associate Head of School’s calendar. Anticipate future and ongoing scheduling needs, prepare in advance materials needed for upcoming meetings.
- Schedule and coordinate administrative meetings, conferences, appointments, and travel.
- Work with CFO on contractual and procedural matters.
- Edit and coordinate the publication of major school documents and handbooks throughout the year; prepare drafts, gather revisions, circulate drafts and compile finalized edition.
- Review, edit and proofread documents prepared by the Head of School. Draft standard correspondence as assigned.
- Assist the Head of School and Associate Head of School with any strategic initiatives for the school including research, correspondence, and document preparation.
- Coordinate and produce state, national, and accrediting institution reports and surveys.
- Maintain various calendars and the master school facilities use schedule.
- Plan and manage the Head of School’s annual budget, monitor accounts; procure equipment and supplies for the Head of School’s Office.
- Work closely to support the Head of School, Associate Head of School, Senior Leadership Team, Board of Trustees, general school administrative staff and constituents.
- Maintain Head and Associate Head of School’s office records.
- Assist Marketing and Communications with the administration of school wide mailing projects.
- Exercise independent judgment in identifying and administering Head of School’s projects of a public relations nature in service to the school.
