In July 2015, the Walton Family Foundation announced the development of a new independent school that opened in downtown Bentonville, Arkansas on August 14, 2017. Thaden School now seeks a Business Office Assistant to support the Controller and Director of Operations and Finance.
Responsibilities of the Business Office Assistant
The Business Office Assistant supports the Controller and the Director of Finance and Operations (DFO), and works with them to support the accounting and human resources functions of Thaden School. The responsibilities of the Business Office Assistant are likely to evolve as the School grows but will include the following from the start:
Providing day-to-day administrative assistance to the Controller and DFO, including calendar maintenance, organization of meetings, report preparation, and management of accounting and human resource systems;
Maintain documents and systems for accounting and HR policies and procedures, including the Employee Handbook, benefits summaries, and conflict of interest disclosures;
Work with the DFO and senior administrators to draft and update opportunity statements, advertise open positions, recruit new employees, and interview prospective employees;
Assist the Controller in managing new hire on-boarding, oversight of federal and state background checks, enrollment of employees in benefit programs, and other HR functions as needed;
With the Controller, create and maintain annual employment contracts for review by the DFO and Head of School;
At least once annually, review human resources systems, controls, and filing compliance with Controller and DFO;
Assist the Controller and DFO in creating reports and obtaining information to support the Finance Committee and the preparation of annual budgets;
Supervise student accounts, including tuition billing, and assist staff and faculty with billing and reimbursement requests;
Provide clerical support to the Controller including data entry, month-end close, and reconciliations;
Receive, process, and deposit cash receipts;
Support the annual financial audit process, and assist the Controller and DFO with preparation of internal documents and records;
Build relationships with faculty, staff, and parents, and serve as a collaborative and resourceful member of the business office team;
Performing other duties in support of the School mission as determined by the Controller and DFO.
Experience and Qualifications
Bachelor’s degree in a field related to accounting, business, human resources, or equivalent work experience
Relevant experience in a non-profit or school environment preferred
Demonstrated proficiency with Excel and facility with Blackbaud, Raisers Edge, or other accounting software
Ability to communicate effectively and work collaboratively with a diverse group of students, parents, staff, faculty, and other constituents
Ability to prioritize effectively and work in a self-directed manner
Capacity to juggle mundane and complex tasks
Excellent judgment and discretion in handling confidential information
Ability to positively represent the school in all settings and circumstances
