The Buckley School, Los Angeles’ oldest K-12 coeducational learning institution, has an opening for a Health Services Assistant. The Health Services Assistant supports the Health Services Department by providing clerical and administrative support and basic first aid and assistance with ill students and staff under the supervision and direction of the School Nurse. This is a part-time position working Monday through Friday 30-35 hours per week.
Responsibilities include the following
Administer the annual student health forms process.
Forms preparation (November – March)
Send/collect completed forms (April – August)
Work with the technology department to ensure that the relevant web pages and health forms and documents are accurate.
Work with the support team at Magnus Health to establish innovative ways to create and make changes to Health Forms as needed.
Email parents information regarding the student health forms process.
Collect, log and review returned forms for completeness.
Follow up with parents via email and phone regarding missing information to ensure receipt of the forms prior to the start of school.
Answer questions from parents via phone and email regarding the forms and process.
Emergencyand Health Supplies
Primarily summer and early fall
Maintain an inventory of all emergency and health supplies including supplies for the health office, first aid kits, emergency backpacks in each classroom and office, medication bags and supplies in the emergency bins.
Maintain a log of all of these supplies, including expiration dates.
Order emergency and health supplies as needed, keeping within budget.
Head of First- Aid for Emergency Preparedness. This includes communicating with the First- Aid Team and supporting innovative ways for preparation.
Maintain an accurate daily electronic health log of students using health office services.
Analyze health log data to ensure accuracy and to identify any health or other issues that may need to be addressed.
Administer basic first aid and assistance for ill or injured students at all grade levels and staff under the direction and supervision of the School Nurse.
Communicate information pertaining to student and employee incidents and injuries to the School Nurse.
Maintain all aspects of the health records throughout the school year including filing, making new files, purging, removing and shifting old files.
Communicate status report regarding collection of health reports, immunizations, etc. to School Nurse.
Communicate and coordinate with Athletic Trainer and P.E. department regarding injuries and restrictions.
Follow up with Worker’s Comp and schedule employees appointments accordingly and report to School Nurse and Supervisor.
Implementing the School Nurses preventative mode of assessment for students in the health office.
Create a daily student sign-out sheet and provide it to the middle school and upper school deans in time for dismissal each day.
Process student injury insurance claims.
Schedule and coordinate employee CPR/First Aid training and annual TB test/flu shot administration.
Computer data entry, generate reports, create and distribute documents and forms and maintains the accuracy of assigned databases.
Collect classroom and advisory lists to use as reference.
Print health records for each grade for health office to be used for field trips.
Print emergency hard copies of online parent submissions to keep in health office.
Transport physically impaired students to classes as needed using the designated golf cart.
Compile monthly injury statistics for the Health and Safety Committee.
Compile “no supportive service list” and distribute to appropriate support staff.
Track regulatory compliance training including CPR/First Aid and communicate to Director of Human Resources and Principals.
Maintain employee health records, including emergency forms, TB and Hepatitis B forms.
Provide clerical and other assistance as needed.
Schedule and coordinate annual Flu & TB clinic on campus.
Strategize ways to reduce paper usage in the health office.
Assist other school personnel as may be requested by the school nurse.
High school diploma. Bachelors degree preferred.
Strong verbal & written communication skills including proficiency in the basic rules of vocabulary, grammar, spelling and punctuation
Strong customer service skills
Enjoys working with students
Proficiency with computers especially with MS Office (Word, Excel, Internet Explorer, PowerPoint, and Outlook) and electronic recordkeeping systems.
Basic techniques of record and file organization.
First Aid. (First Aid and CPR certification required.)
Demonstrated ability to work collaboratively with diverse populations, including students, parents, and faculty.
Flexibility to occasionally work long hours, including attendance at weekend and evening events
