Ethel Walker is seeking an experienced and collaborative Registrar/Data Analyst to serve as the custodian of student data information and records for current and incoming students. This person will manage academic records, build the academic schedule, collaborate with department chairs and others to facilitate student placement and course registration and more.
Registrar- Specific Responsibilities:
Create and maintain master class schedule in collaboration with other departments as needed.
Coordinate with Admissions to ensure timely and accurate registration of new students and graduation/withdrawal of departing students and appropriate transfer of records.
Assist Admissions, Advancement and other offices when special schedules are required.
Coordinate with associate head, middle school director, academic leadership, advisors, parents, and students to manage and communicate student enrollment, including compliance with prerequisites and course schedules.
Coordinate with division and academic leadership to manage and communicate faculty course and classroom assignments.
Coordinate with division and academic leadership including College Counseling, advisors, parents, and students to ensure each student’s compliance and progress against graduation requirements.
Collaborate with College Counseling on annual data-driven requests, including but not limited to: National Merit applications; creating first quarter grade reports for seniors, calculate GPAs and submit verification forms.
Compile and manage student narratives, grades, and transcripts including responsibility for managing and supporting Walker’s electronic gradebook system, Veracross.
Maintain current and accurate auditable student records, both physical and electronic.
Record and maintain correspondence of student records, including but not limited to cumulative folders, demographics, diplomas, and transcripts.
Coordinate the creation of the all-school calendar and major dates calendar.
Provide accurate reporting in a timely manner for both internal and external reports.
Process alumnae requests and transcripts
Process and transmit requests for student information, including student transcripts for colleges and enrichment programs, transfer information, etc.
Manage standardized testing and associated record keeping
Propose and implement changes to improve accuracy and efficiency of records creation and maintenance.
Identify improvements for student information storage.
Write, review, and edit registrar policies and procedures under the direction of the Associate Head of School.
The Data Analyst is responsible for providing value through data analysis for school initiatives.
Collect, analyze and interpret data
Develop recommendations and findings and report them to the Head of School and other managers, as assigned
Develop and maintain performance metrics, measurement methods, identify, examine and report on improvement opportunities school-wide
Coordinate and manage the flow of student data between the Office of the Registrar, the Deans of the Faculty overseeing curriculum and academics and the Office of College Counseling
Work with the IT staff, and Marketing management to ensure data integrity.
Supports upgrades and modifications to current technology
Responsible for production of complex statistical reports, data analysis and recommendations for the Academic departments on campus.
Utilizes knowledge of student and curriculum data in conjunction with working knowledge of the registration systems to produce documentation for use by end users
Coordinates and provides training to end users on the use of Registrar systems and data.
Other duties as assigned
Bachelor’s Degree or equivalent experience preferred.
3-5 years experience managing complex data systems within a school setting preferred.
Ability to problem-solve and navigate complex systems.
Demonstrated experience managing data integrity and synchronization across multiple systems and platforms.
Ability to embrace a collaborative work style and interact in a positive and proactive manner with all school constituencies.
Excellent project management and organizational skills.
Strong interpersonal, written, and oral communication skills.
Strong administrative skills and proficiency in Microsoft Office Suite (Word, Excel, and Outlook), database management, and scheduling applications required.
Experience with Veracross and Naviance preferred.
Familiarity and experience with FERPA regulations.
Experience with data analysis and reporting, and an understanding of the basic uses of statistics for these purposes.
Interpretation of data analysis to end users.
Personable with a positive customer-service mindset.
Demonstrated ability to exercise good judgement and maintain confidentiality.
Criminal background check and clearance required.
