Avenues New York opened in 2012 and currently serves 1,550 students in grades Nursery – 12. Our second campus, in São Paulo, will open in August 2018, and Avenues Shenzhen is scheduled to open in 2019. The Manager of Enrollment Systems will manage and maintain world-class enrollment and CRM systems across all campuses. This includes directing the systems that support the organization’s admissions, operations and marketing objectives as well as influencing the overall admissions strategy and tactics. With a multi-disciplinary perspective, the candidate will ensure admissions and enrollment systems are consistent with global standards, but in-line with local market needs with an eye on the user experience. The Manager of Enrollment Systems will work closely with admissions, information systems & technology, marketing, business stakeholders, and parents to infuse new admissions concepts into Avenues operations.
The Information Systems & Technology team is comprised of outstanding professionals at the intersection of education, operation, and technology. Our goal to support the Avenues vision to eventually bring together 35,000 students and 3,000+ faculty members through a number of traditional and virtual modalities.
The successful candidate will bring proven abilities to contribute in two key areas:
Information Systems & Technology
Partner with Admissions and Marketing & Communications to completely understand their needs, business processes and systems.
Champion and provide leadership and support for local and global CRM implementations, which include system integrations, administration, change management, security and execution of overall CRM strategy.
Cooperatively manage team of data coordinators at each campus to support tasks related to the day-to- day operations and support of CRM implementation.
Analyze admission needs, existing systems, and processes to implement customized admission solutions that support departmental and organizational goals.
Serve as the technical expert for members of the admission and enrollment management, information systems departments and for other business stakeholders.
Administer CRM and Enrollment Management System including configuration, process builder design, workflow creation, reporting, troubleshooting, and testing.
Serve as the technical project manager by refining system requirements, set priorities and resolve issues during campus-specific implementations.
Influence creative team and marketing strategy through existing marketing automation processes to meet Avenues enrollment management goals.
Coordinate communications with prospective and admitted students.
Establish reporting on key metrics that demonstrate the effectiveness of admissions design leveraging CRM systems
Participate in project budgeting for CRM design deliverables. Assign and manage resources across multiple initiatives and manage to time and budget requirements.
Monitor and report enrollment system performance metrics, errors, inaccuracies or inefficiencies, making recommendations as needed.
Admissions & Enrollment
Work with admissions directors on designing and improving local operational practices using CRM and marketing automation
Plan and assist in executing the short and long-term Avenues enrollment management department operational goals to improve effectiveness and efficiency.
Responsible for developing and implementing enrollment management department operating standards across Avenues campuses for how processes are documented, managed and improved.
Serve as the temporary “on-the-ground” enrollment process expert for new Avenues campuses pre and post launch.
Partner with admissions directors on designing and improving local operational practices in line with overall global enrollment management standards
Develop and strategically initiate extensive internal end-user training on enrollment processes, procedures, system functionality and configuration.
Communicate and educate business leaders and stakeholders partners on Avenues admissions system standards. Perform design reviews and provide feedback to all stakeholders to ensure a consistent user experience.
Candidates should have most, if not all, of the following:
Energized by Avenues’ mission and opportunity for impact in education
Bachelor’s degree in computer science, systems analysis, operations or equivalent experience
5+ years of relevant admissions, marketing and/or communications experience
Excellent knowledge of marketing automation concepts, CRM and/or student information systems solutions (i.e., Salesforce, Veracross a plus)
An effective team player, able to facilitate, build consensus, mentor and train virtual teams
Excellent written and verbal communication skills
Critical eye for detail/data errors
Ability to manage multiple tasks and projects simultaneously
Ability to lead meetings and walk through updates with the organization
Strong vendor management background including reviewing and editing SOW and price/timeline negotiation
Intellectual curiosity and mindset of continuous learning and growth
