The US Assistant is responsible for supporting the Head of Upper School and the Upper School Dean of Students by anticipating their daily, weekly and long-term needs in a confidential and professional manner while also providing additional support to the Upper School team as needed. This role also includes daily attendance responsibilities for all Upper School students which involves interfacing with students and parents in-person as well as via email and phone.
Provide support for the Head of Upper School and Upper School Dean of Students, including but not limited to the following:
? Anticipate and successfully meet the daily needs of the Head of Upper School and US Dean of Students to ensure they can effectively and efficiently meet responsibilities
? Schedule appointments and maintain the Head of Upper School’s calendar
? Liaise with the Data Manager for data acquisition and analysis for special projects
? Take minutes at Upper School committee meetings
? Send reminders for Upper School meetings
? Label student mailboxes
? Mail letters for student drivers
? Produce parking lists for the Upper School Dean of Students and Chief Operating Officer including tags/registration. Update as needed
? Help arrange logistics for field trips
? Help coordinate Human Development program logistics
? Keep track of special schedules for school activities/assemblies. Post as needed.
? Assist with Student Awards assembly (including manage acquisition of Student Award plaques)
? Assist with 12th grade Graduation logistics
? Assist with faculty hiring process logistics
Daily Upper School Student Attendance
? Take daily attendance reports from first period teachers and enter the information into MyCSUS OnRecord
? Maintain lists used for attendance: First period teachers, students with first period free, students who ride the train or bus
? Maintain student lists by grade for attendance
? Post daily attendance
? Maintain a file of attendance reports
? Check attendance for students at fire drills
? Check weekly clubs roster attendance
? Track students for excessive tardies or absences and report to Head of Upper School and Upper School Dean of Students
? Attend to ill students, call parents
? Maintain check in/check out daily log of students arriving late, leaving early, leaving for an appointment, etc.
? Maintain and update Absence Request Forms and Extended Absence Request Forms
? Create Senior Privilege contracts, sign in/sign out sheets and track the students (for second semester)
Education, Certifications and Work Related Experience:
A high school diploma or GED is required, but an associate’s degree or bachelor’s degree is preferred. At least two years of experience working in an office or school setting in a similar or related capacity.
? Operational knowledge of web-related technologies
? Operational knowledge of google applications and gmail
? Operational knowledge of MS-Word, Excel and PowerPoint
Technical Competencies and Skills:
? Spanish and/or Mandarin Language skills a plus
? Medical and/or nursing skills a plus (for dealing with ill students)
? Demonstrates cultural competency and ability to work well with diverse groups of people
? Possesses strong oral and written communication skills

? Strong, positive interpersonal relationship skills between students, staff, parents and community members

? Some tasks require oral and written communications ability.
